About the Role

NewsBreak is looking for a detail-oriented and proactive Executive Assistant to provide high-touch support to our executive leadership team, with a secondary responsibility supporting HR recruiting coordination. This is an on-site role suited to someone who can adapt to different working styles, stays organized under changing priorities, and enjoys being the connective tissue between leadership and the broader team.

This position is 100% in-office (Monday through Friday) at our Mountain View headquarters.

What You'll Work On

Executive Support

  • Manage complex calendars, balancing competing priorities and ensuring executives' time is aligned with business needs
  • Coordinate internal and external meetings, resolve scheduling conflicts, and facilitate communication across stakeholders
  • Plan and manage domestic and international travel, ensuring seamless logistics and execution
  • Prepare agendas, presentations, meeting materials, and follow-up action items
  • Process expense reports, invoicing, and administrative correspondence in accordance with company policy
  • Support team operations, including all-hands meetings, offsites, happy hours, and other team events
  • Serve as the primary point of contact between supported executives and the rest of the company
  • Build strong working relationships across teams and become a trusted partner to the leaders you support
  • Help improve operating rhythms and identify opportunities to streamline processes
  • Track projects and commitments so nothing falls through the cracks
  • Support special projects and cross-functional initiatives as needed
  • Exercise sound judgment, professionalism, and discretion when handling confidential information

HR Support

  • Help schedule and coordinate candidate interviews across stakeholders as needed
  • Assist with occasional recruiting events or onboarding logistics
  • Provide administrative support for employee benefits processes, including enrollment coordination, vendor communications, and employee inquiries
  • Support immigration administration by coordinating with external immigration counsel, tracking case progress, collecting required documentation, and communicating with employees throughout the process

What We're Looking For

  • 2–4 years of executive assistant or administrative support experience
  • Experience supporting senior leaders in a fast-paced, high-growth environment
  • A track record of managing complex calendars, scheduling across multiple stakeholders, and resolving competing priorities
  • Excellent written and verbal communication skills, with the ability to tailor communication to different audiences
  • A collaborative mindset and enjoy partnering across teams to solve problems and move work forward
  • Strong organizational skills and the ability to operate independently amid changing priorities
  • High level of discretion and professionalism when handling confidential information
  • Fluency with Google Workspace / Microsoft Office; familiarity with ATS, HRIS platforms (e.g., Greenhouse, Workday) is a plus
  • Comfort working on-site and collaborating across departments
  • Bachelor's degree.

Preferred Qualifications

  • Professional fluency in both English and Mandarin Chinese is a plus.
The US base salary range for this full-time position is listed below. Pay may vary based on a number of factors including job-related skills, level, experience, geographic location and relevant education or training. At NewsBreak, we design our overall rewards package to attract top talents. Depending on the position, the role may also be eligible for discretionary bonus and options.
