Description of the Role / Role Purpose

Pratham International is seeking a highly organized Executive Assistant to support its global leadership team. This role is established as a centralized team resource rather than a traditional personal assistant role. You will act as the logistical anchor for the Executive Group (EG), ensuring seamless operations across scheduling, international travel, and board schedules.

The successful candidate will be a proactive partner to leadership, capable of managing complex logistics across multiple time zones and providing high-level administrative support to board committees.

Major Roles and Responsibilities

Shared Executive Scheduling (30%)

  • Calendar Management: Manage complex scheduling requests for multiple members of the leadership team, prioritizing external partner and donor meetings.
  • Global Coordination: Resolve conflicts and schedule calls across India, US, LAC, and Africa time zones and across Pratham entities as needed.
  • Workspace Management: Coordinate logistical bookings for team-wide meetings (e.g., securing venues like Work Bar) and communicate details to the broader staff.

International Travel & Logistics (outside India) (25%)

  • End-to-End Travel Support: Manage international travel for leadership, including flights, visas, accommodations, and ground transportation.
  • Expense Management: Process travel expenses and ensure timely reporting and reimbursement.

Special Projects and ad hoc support(30%)

  • Project Tracking: Assist with tracking team-wide deliverables and outstanding action items.
  • Communication: Draft, proofread, and edit correspondence for internal and external constituents.
  • Ad Hoc Support: Provide flexible, high-level administrative support for new projects and emerging priorities as they arise.

Board and Committee Support (10%)

  • Governance Logistics: Act as the primary administrative point of contact for board and committee members.
  • Meeting Management: Schedule and coordinate all board and committee meetings, ensuring alignment across global time zones.

Required Qualifications, Skills, and Experience

  • Experience: 7+ years of progressive administrative or executive support experience, ideally in a shared-resource model within the nonprofit or international development sector.
  • Logistical Mastery: Proven ability to manage complex travel and calendars across diverse global time zones.
  • Communication: Exceptional written and verbal communication in English; extreme attention to detail in proofreading and professional correspondence.
  • Technical Proficiency: Mastery of GSuite (specifically advanced Calendar management, Slides, and Sheets) and Zoom.
  • Discretion: High level of judgment and discretion when handling sensitive organizational and personnel information.
