The Executive Assistant to the Higher Education Department shall provide comprehensive executive, administrative, coordination, documentation and monitoring support to the DHE office and facilitate effective communication and follow-up with officers, institutions and stakeholders of the Higher Education Department.

Qualifications

1. Minimum Graduate in Any Subject from a recognized University/College.

2. Must have Computer Proficiency Certification Test (CPCT) Pass in 2021 or latest

3. Preference will be given to candidates having Postgraduate qualification in Management/ Public Administration/ Finance/ Commerce/ Computer Applications or a related field would be desirable.

Experience

1. Preferably Minimum 3 years of relevant experience in Education Department or any other Govt departments of Madhya Pradesh State Government, Central Government, or a Public Sector Undertaking.

2. Shall have experience in Administration/Coordination ,Executive/Management support functions.

3. Experience in assisting a senior Government officer/Head of Department would be an advantage.

4. Preference shall be given to candidates having prior experience of working on Government-funded or externally funded projects, particularly with the Education Department of a State Government, Central Government, or a Public Sector Undertaking.

5. The candidate must have hands-on experience in Working Experience in e-office - during the last 1 Years.

6. The candidate should possess proficiency in typing in both English and Hindi.


Responsibilities:

1. Proficient in MS Word and Excel.

2. Typing speed required

3. Hands-on experience in preparing PowerPoint presentations in both Hindi and English.

4. To provide high-level administrative, coordination, documentation and communication support to Officers of Higher Education, ensuring effective management of official matters, meetings, correspondence, reviews, follow-up actions and coordination with various officers, institutions and stakeholders.

5. To handle the File & Correspondence Management

6. Strong communication and interpersonal skills.

7. Draft/assist in drafting official letters, notes, minutes, communications and replies.

8. Track pending matters and ensure timely submission of files requiring the Commissioner's consideration.

9. Prepare reports as per instructions provided by Department Officers.

10. Handle office documentation and general administrative tasks efficiently.

11. Maintain office records and inventory systematically.

12. Coordinate with team members for day-to-day operational activities.

13. Draft letters, note sheets, and collect supporting documents from team members.

14. Prepare Minutes of Meetings (MoM) and administrative sanction documents.

15. Perform any other duties assigned by the Department from time to time.

16. Handle official telephone calls, correspondence and communications on behalf of the Commissioner as authorised.

17. Coordinate visits, official programmes and interactions of the Commissioner.

18. Assist in communication with universities, colleges, students, faculty and other stakeholders where required.

19. Ensure that official communication is professional, accurate and timely.
