The Role

We're seeking an exceptional Executive Assistant to support our Managing Director and serve as a trusted partner to the executive leadership team. Success in this role will require proven experience supporting a Managing Director within an ASX-listed company.

This is more than a traditional EA role. You'll act as an extension of the Managing Director, helping manage priorities, coordinate key business activities, support governance requirements, and ensure the MD is prepared for every meeting, decision, and stakeholder interaction.

You'll also support the Chair and Non-Executive Directors, contributing to effective Board operations and strong governance practices.

Your Everyday

  • Manage the Managing Director's diary, ensuring time is aligned to business priorities.
  • Prepare executive briefings, Board papers, agendas, and meeting materials.
  • Coordinate Board and Committee meetings, including documentation, minutes, and action tracking.
  • Manage executive communications and stakeholder engagement with professionalism and discretion.
  • Coordinate investor roadshows, reporting season activities, executive events, and travel arrangements.
  • Follow up actions, manage deadlines, and ensure the MD is fully prepared for key meetings and commitments.

Who Are You?

You're an experienced Executive Assistant who thrives in a fast-paced environment and enjoys being one step ahead. You're highly organised, proactive, and confident working with senior executives, Board members, and external stakeholders.

You'll Bring

  • Experience supporting a Managing Director or CEO within an ASX-listed organisation.
  • Strong Board and governance experience, including preparing Board materials and liaising with Directors and the Chair.
  • Exposure to investor relations activities, including roadshows, reporting season requirements, and executive events.
  • Outstanding organisational skills, with the ability to manage competing priorities and anticipate business needs.
  • Excellent communication and stakeholder management skills.
  • The ability to act as a trusted extension of the Managing Director by following up actions, coordinating priorities, and driving outcomes.
  • Strong judgement, discretion, and experience handling confidential information.

Highly Regarded

  • Experience supporting a CFO or General Counsel within an ASX-listed organisation.
  • Exposure to reporting cycles, market announcements, and investor-facing activities.
  • Experience within infrastructure, construction, engineering, or similarly complex corporate environments.
