Executive Assistant
Executive Assistant to CEO/Founders | AI Scale-Up | Soho
£70,000–£90,000 flexible guide salary + equity package + exceptional benefits | Permanent
This is not your average EA role. Join one of the most ambitious AI businesses at a pivotal stage of growth, become their first dedicated Executive Assistant and work at the heart of a company building technology for some of the world’s largest enterprises.
Supporting three founders, with a particular focus on the CEO, you’ll have extraordinary visibility, genuine autonomy and the opportunity to shape how executive support works as the business scales. This is a role for someone who thrives on pace, takes ownership instinctively and wants to be part of building something exceptional.
The role
This AI business has big ambitions, an expanding international footprint and a huge amount to achieve. The team is growing rapidly, the founders’ schedules are demanding and established processes are still being built.
You won’t inherit a polished playbook. You’ll help create one.
Working closely with the CEO and two co-founders, you’ll be trusted to make decisions, protect their time, anticipate what matters and keep priorities moving when plans change at a moment’s notice. You’ll support high-profile meetings, enterprise clients, investors and board-level activity, with the chance to make a tangible difference to how the company operates.
You will provide a high level EA support to all Founders with a large weighting toward the CEO. You will work across London & New York so flexibility around evening calls and balancing priorities across zones is essential.
The role is fully office based in Soho.
What you’ll be doing
- Owning complex, fast-moving founder diaries and making intelligent decisions about how their time is spent.
- Managing inboxes, prioritising communications and drafting correspondence with impeccable judgement.
- Coordinating meetings with major enterprise customers, investors, partners and senior stakeholders, ensuring everything is prepared and followed through.
- Organising international travel across London, New York and Germany, resolving changes quickly and calmly.
- Supporting board and investor meetings, from scheduling and preparation through to follow-up.
- Acting as a trusted point of contact, representing the founders with confidence and professionalism.
- Building processes and systems from scratch, spotting inefficiencies and making things work better without waiting to be asked.
- Working closely with the Office Manager and wider team, with potential to support events and additional projects as the business scales.
Who you are
You’re an exceptional EA who combines intelligence, presence, judgement and outstanding attention to detail. You’re comfortable operating at speed, working independently and making decisions when the founders aren’t immediately available.
You’ll bring:
- Experience supporting a founder or CEO, ideally alongside other senior executives or members of the leadership team.
- A background in a high-growth technology or SaaS start-up/scale-up, where you’ve experienced rapid growth and helped build processes as the business evolved.
- Experience coordinating board or investor meetings and handling senior external communications.
- The confidence to challenge a founder constructively, prioritise according to business impact and protect their time.
- A robust, engaging and polished communication style, with the judgement to handle sensitive matters.
- A proactive, ownership-led approach and the ability to thrive without a detailed playbook.
- Exceptional organisational skills and a zero-error mindset, even when schedules and priorities are changing constantly.
This is a demanding, hands-on EA role where you will enjoy the detail, embrace the pace and be genuinely energised by supporting founders at the centre of the action. In return, you will receive a competitive salary, equity, unlimited leave, all meals, third space membership, and the chance to be at the centre of something incredible.
