About the Role
The Executive Assistant provides high-level administrative and personal support to the Chief Executive Officer of PS, serving as a trusted partner in managing priorities, communications, travel, and day-to-day logistics. This role requires exceptional judgment, discretion, emotional intelligence, and the ability to anticipate needs in a fast-paced executive environment.
The ideal candidate is highly organized, service-oriented, and comfortable balancing business priorities with select personal assistant responsibilities while maintaining the highest degree of professionalism and confidentiality.

Location: PS HQ (El Segundo, CA)
Schedule: Full-time, Onsite
Responsibilities & Expectations
- Serve as a trusted administrative partner and primary point of contact for the CEO, coordinating effectively with executives, employees, board members, guests, and external partners.
- Manage the CEO’s complex calendar with a strong understanding of business priorities, including meeting coordination, conflict resolution, schedule optimization, and proactive adjustments as needs evolve.
- Ensure CEO meetings are thoughtfully prepared and fully coordinated, including agendas, materials, logistics, dial-ins, hospitality needs, and timely follow-up on action items.
- Coordinate end-to-end domestic and international travel for the CEO, including flights, hotels, ground transportation, dining arrangements, detailed itineraries, and real-time adjustments as schedules shift.
- Provide polished personal assistant support for the CEO, including managing appointments, reservations, personal travel, household and family logistics, orders, deliveries, gifts, errands, and special projects.
- Coordinate household vendors, repairs, bills, medical reimbursements, personal-care appointments, VIP travel services, and family events with discretion and care.
- Anticipate executive and personal needs by maintaining awareness of upcoming commitments, deadlines, events, preferences, and logistical details that support the CEO’s efficiency and overall day-to-day experience.
- Support CEO communications by monitoring, organizing, and triaging inbox activity, drafting responses when appropriate, and ensuring timely follow-through on priority messages.
- Prepare and format communications such as memos, emails, presentations, and reports.
- Coordinate office and meeting logistics, including conference room bookings, catering, set-up, and guest experience.
- Support day-to-day office operations and ad hoc administrative needs.
- Prepare expense reports, process invoices, and track payments.
- Take full ownership of assigned tasks and projects with minimal oversight.
- Perform other duties as assigned by leadership.
Requirements / Qualification
- 4-6+ years of EA/PA experience
- Exceptional communication skills
- Ability to prioritize multiple projects quickly and accurately in a fast-paced environment with evolving priorities and last-minute changes
- Strong organizational skills, attention to detail, and execution excellence
- Advanced presentation and document formatting skills with a keen eye for detail and aesthetically polished output; experience using tools in Microsoft Office & Canva
- Proven ability to build strong cross-functional relationships
- Experience designing or improving administrative workflows
- High level of discretion and emotional intelligence

Salary range $75,000 - $90,000/annually. This is a full-time Exempt role.
