ROLE OVERVIEW

We are seeking a highly organised, proactive, and discreet Executive Assistant (EA) to provide high-level administrative, coordination, and executive support to the Director and Senior Leadership team.

The successful candidate will serve as a key point of coordination for executive activities, ensuring effective management of schedules, communications, meetings, documentation, follow-ups, and priority assignments. The role requires exceptional organisational skills, sound judgement, professionalism, and the ability to handle confidential and sensitive information with a high degree of discretion.

The ideal candidate should be comfortable working in a fast-paced healthcare, medical, or NGO environment and possess the maturity and initiative required to anticipate executive needs and ensure that priorities are effectively managed.

KEY RESPONSIBILITIES

Executive & Administrative Support

  • Manage and maintain the Director's daily calendar, appointments, meetings, engagements, and travel arrangements.
  • Coordinate executive schedules and proactively identify and resolve scheduling conflicts.
  • Screen, prioritise, and manage incoming emails, calls, correspondence, and other communications.
  • Draft and review professional correspondence, letters, memos, reports, and other executive communications.
  • Prepare meeting agendas, briefing notes, presentations, reports, and supporting documentation.
  • Maintain an organised and accessible system for executive files, records, documents, and confidential information.

Meeting & Stakeholder Coordination

  • Coordinate internal and external meetings, including physical and virtual engagements.
  • Prepare meeting materials and ensure relevant stakeholders receive required information in advance.
  • Attend meetings where required, document minutes and decisions, and maintain an effective action tracker.
  • Follow up with responsible stakeholders on outstanding action points, deadlines, and deliverables.
  • Serve as a professional liaison between the Director, senior management, employees, clients, partners, vendors, government agencies, and other stakeholders.

Operational & Strategic Support

  • Support the Director and Senior Leadership in the coordination and execution of strategic initiatives and special projects.
  • Conduct research and prepare summaries, briefs, presentations, and background materials to support executive decision-making.
  • Monitor assigned projects, deadlines, and priority deliverables and provide timely status updates.
  • Support the coordination of executive-level events, workshops, conferences, and official engagements.
  • Identify opportunities to improve administrative processes, workflow, communication, and executive efficiency.
  • Perform other administrative, coordination, and project-related duties as assigned by Senior Leadership.

QUALIFICATIONS & REQUIREMENTS

  • Bachelor's degree (BSc) or HND in Business Administration, Management, Health Sciences, Public Administration, or a related discipline.
  • 3–5 years of relevant experience as an Executive Assistant, Personal Assistant, Executive Administrator, Office Manager, or in a similar senior administrative capacity.
  • Previous experience working within the healthcare, medical, NGO, development, or professional services sector will be an advantage.
  • Demonstrated experience supporting senior executives, directors, or members of senior management.
  • Strong proficiency in Google Workspace, particularly Gmail, Calendar, Docs, Sheets, Drive, and Meet.
  • Excellent written and verbal communication skills.
  • Strong business writing, report preparation, and presentation skills.
  • Excellent organisational and time-management abilities.
  • Ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Strong attention to detail and ability to work with minimal supervision.
  • High level of professionalism, discretion, integrity, and confidentiality.
  • Strong interpersonal and relationship-management skills.
  • Ability to anticipate executive needs, exercise sound judgement, and take initiative.
  • Ability to operate effectively in a fast-paced and dynamic work environment.
