Executive Assistant to the Director

4PLUS8 Group is a Singapore-based premium interior fit-out, joinery, and design group with a team of 40. We operate across three entities — bespoke joinery and interior build, lighting and home automation, and home care and maintenance.
THE ROLE
We're looking for a sharp, execution-focused Executive Assistant to support Group Director, across all three entities. This goes beyond a traditional diary-and-travel EA role —you'll combine close executive support with real operational ownership: driving reporting discipline, following up across departments on the Director's behalf, and pushing key systems and initiatives to completion.
KEY RESPONSIBILITIES
Executive Support
– Manage the Director's calendar, meeting scheduling, and travel arrangements across all three entities
– Draft, proofread, and manage correspondence and internal communications on the Director's behalf
– Prepare briefing notes and materials ahead of meetings; coordinate and minute key leadership discussions
– Handle confidential and sensitive information with full discretion
Business & Sales Operations
– Coordinate sales meetings and consolidate sales reporting for the Director's review
– Chase outstanding project payments and run collections analysis, flagging at-risk accounts to salespeople
– Support continuity and follow-through on the company's business plan and strategic initiatives
– Follow up on action items across departments to ensure timely execution
Systems & Process
– Support rollout and adoption of the CRM and internal HUB system across teams
– Drive adoption of AI tools and new working methods across the office
Governance & Accountability
– Review contracts and agreements against company interests before the Director signs off
– Conduct spot checks and accountability follow-ups on staff and departments on the Director's behalf
– Draft official memos and directives communicating decisions across the company
– Support ad-hoc projects spanning, finance, marketing, and strategic initiatives (e.g. listing preparation,M&A activity)
REQUIREMENTS
– Diploma or degree in Business Administration or related field
– 4–6 years of experience as an EA, Chief of Staff, or Operations Executive to a founder, director, or C-suite executive — ideally with exposure to sales or operations reporting, not purely administrative EA work
– Excellent written and verbal communication skills
– Comfortable holding other staff and departments accountable on the Director's behalf, including difficult follow-ups
– Highly discreet, trustworthy, and comfortable handling sensitive/confidential matters
– Strong organizational skills with the ability to manage shifting priorities under pressure
– Proficient in MS Office/GoogleWorkspace; comfortable learning CRM/ERP-style systems
– Comfortable working directly with a terse, direct, execution-focused leader
