Garrison Forest School is seeking an organized, energetic person with strong interpersonal skills for the position of Executive Assistant to the Head of School. The Executive Assistant to the Head of School serves as the primary administrative partner to the Head of School, providing high-level executive support to the Head of School and to the Board of Trustees while ensuring the efficient operation of the Head’s Office. This individual exercises exceptional judgment, discretion, professionalism, and organizational skill in managing complex schedules, confidential information, communications, and school-wide initiatives. The Executive Assistant serves as a trusted ambassador for the Head of School, fostering positive relationships with trustees, faculty, staff, students, parents, alumnae, and external constituents.
Major Duties and Responsibilities
- Provide administrative support to the Head of School including calendar management, travel planning, correspondence, file maintenance and telephone contact.
- Provide administrative support to members of the Board of Trustees. Plan new Trustee Orientation and update and print the Trustee Handbook. Compose Board minutes and process through approval by the full Board. Maintain the Board files: minutes, motions, correspondence, membership, retreats, strategic plans, etc. Work with the Trusteeship Committee to conduct the annual board and head surveys.
- A key member of the Crisis Communication Team and Leadership Team
- Organize the All-School Calendar Meetings and manage the creation of the all-school calendar
- Complete the Maryland State Annual Report at the close of each school year and maintain all mandated files for inspection by the State
- Organize key special events, meetings, receptions, lunches for faculty, staff and guests including the annual holiday party, the end of year milestone luncheon, selection process for the Distinguished Teacher and McGregor Staff Awards, retirement teas, the end of summer luncheon and opening of school events.
- Office management duties include interfacing with other administrative staff to organize mail distribution and telephone duties, order and maintain supplies of school stationery, order badges and business cards, approve messages for GFS Announcements and track and process memberships in various educational associations.
This is a twelve-month position that requires work on some evenings and weekends. The annual salary range for this position is $65,000-$75,000, based on years of experience and education level; the exact compensation will be discussed during the hiring process.
