Executive Assistant to the Principal

You will serve as a strategic operational partner to the Principal across business and personal initiatives. You will manage complex calendars, priorities, communications, travel logistics, and confidential matters. You will build workflows, SOPs, trackers, and documentation systems; use AI tools to improve operational efficiency; capture detailed meeting notes; track execution; and coordinate stakeholders across initiatives.

Responsibilities

  • Serve as a trusted operational partner to the Principal across business and personal initiatives
  • Manage complex calendars, shifting priorities, and communications across multiple entities and time zones
  • Coordinate domestic and international travel logistics, itineraries, scheduling, and contingency planning
  • Handle sensitive information and operational matters with discretion
  • Design and maintain integrated workflows and processes
  • Build and maintain SOPs, trackers, workflows, project plans, and organizational systems
  • Use AI tools for research synthesis, workflow automation, meeting preparation, knowledge management, scheduling optimization, and operational coordination
  • Organize secure, searchable documentation and communications across Google Workspace, Slack, Notion, Jira, and Confluence
  • Capture detailed meeting notes, summaries, action items, decision logs, and next-step trackers
  • Track deliverables, owners, priorities, deadlines, and follow-through across concurrent initiatives
  • Coordinate with executives, operators, security personnel, portfolio leaders, and external stakeholders
  • Support speaking engagements, external meetings, special projects, and evolving operational priorities
  • Maintain communication flow, organizational alignment, and execution consistency across initiatives

Requirements

  • 5+ years of experience supporting senior executives, founders, principals, or leadership teams in fast-paced environments
  • Willingness to work onsite full-time in Longmont, Colorado
  • Ability and willingness to travel domestically and internationally as needed, approximately 20–30%
  • Exceptional organizational skills and ability to manage competing priorities
  • Systems-thinking ability to create structure, processes, and operational clarity
  • Elite note-taking, information synthesis, documentation, and follow-through capabilities
  • Demonstrated use of AI tools beyond surface-level administrative tasks
  • Strong written and verbal communication skills and executive presence
  • Discretion, confidentiality, and mature judgment
  • Ability to solve problems independently and operate with ownership
  • Experience in technology, blockchain, venture, startup, investment, family office, or operationally complex environments preferred
