The Executive Assistant to the Chancellor provides high-level administrative and organizational support to the Chancellor’s Office. The role ensures efficient daily operations, smooth communication, professional coordination, and proper handling of confidential information.

1. Executive Administrative Support:

Manage the Chancellor’s calendar, appointments, and meeting schedules.

Prepare official correspondence, reports, memoranda, and documentation.

Screen and prioritize phone calls, emails, and requests directed to the Chancellor.

Prepare presentations, briefing materials, and meeting packages.

2. Office and Meeting Coordination:

Organize and coordinate internal and external meetings, visits, and events.

Prepare meeting agendas, record minutes, and follow up on action items.

Ensure all meeting materials and logistics are well-prepared in advance.

3. Communication and Liaison:

Serve as the main point of contact between the Chancellor’s Office and other departments.

Maintain professional communication with internal stakeholders and external partners.

Convey instructions, decisions, and updates from the Chancellor to relevant parties.

4. Operational and Logistical Support:

Coordinate travel arrangements, bookings, and itineraries for the Chancellor.

Track, follow up, and complete administrative tasks and required approvals.

Maintain confidential and organized filing systems (electronic and physical).

5. Confidentiality and Professionalism:

Handle sensitive information with strict confidentiality and discretion.

Maintain a high level of professionalism, diplomacy, and organizational awareness.

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 2–5 years of experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite.
  • Excellent command of written and spoken English (Arabic is a plus).
  • Experience in working in fast-paced or executive environments.
