Position Summary

The Executive Assistant provides high-level administrative and operational support to the Executive Director and Leadership Team. This role is responsible for coordinating meetings, facilitating communication, and ensuring the efficient day-to-day functioning of the leadership office. The ideal candidate is highly organized, detail-oriented, proactive, and committed to the mission of the organization.

Key Responsibilities

Executive & Administrative Support

  • Coordinate internal and external meetings, including agendas, meeting materials, minutes, and follow-up on action items.
  • Screen and prioritize emails, phone calls, and correspondence.
  • Prepare reports, presentations, letters, and other documents.
  • Maintain confidential records and sensitive information with discretion.
  • Serve as the primary administrative liaison for the leadership team.
  • Coordinate recurring leadership meetings and organizational planning sessions.
  • Track projects, deadlines, and deliverables across departments.
  • Support cross-functional communication and ensure timely follow-up on leadership initiatives.
  • Assist with Board of Directors meetings
  • Prepare board packets, agendas, meeting minutes, and supporting documentation.
  • Coordinate board communications and maintain governance records.
  • Help develop and improve administrative systems and office procedures.
  • Coordinate special projects, organizational events, and leadership retreats.
  • Maintain office supplies and support general office operations as needed.
  • Assist with vendor coordination and administrative contracts.
  • Draft and edit correspondence on behalf of leadership.
