Join the Faculty of Business, Economics and Law (BEL) Executive Office as an Executive Coordinator and play a key role in supporting the Executive Dean and enabling the effective operation of a dynamic and high-performing faculty.

Key responsibilities will include:
Managing the electronic diary of the Executive Dean, including coordinating and scheduling meetings and arranging travel.
Designing and delivering a range of administrative/business processes and activities in consultation with relevant staff, to meet the identified business requirements.
Planning and implementing high-quality administrative systems, standard operating procedures and office protocols.
Responding to complex or non-routine inquiries which may require interpreting policy, procedures and entitlements as relevant to the role.
Coordinating meetings and committee activities, including scheduling, drafting relevant documentation, taking minutes, liaising with key stakeholders and attendees, ensuring proper distribution of documentation and overseeing their archiving in line with records management protocols.
Liaising with and responding to a wide range of enquiries from staff and students at all levels across the University, representatives from government, industry and the professions and members of the wider community, initiating further action and follow up as necessary.
Undertaking financial administration responsibilities, including exercising the appropriate financial delegation in accordance with University financial policy and procedures.
Undertaking background research and data analysis for the relevant senior or executive level staff member/s and drafting correspondence and documents, which includes handling of confidential materials
Organising visits, functions, workshops, and events.
This is a full-time, fixed-term position for up to 12 months at HEW Level 6.
About You
We are seeking an experienced, motivated, energetic and highly organised Executive Coordinator to provide an exceptional level of executive assistance and administrative support to the Executive Dean.
Candidates require high level interpersonal, communication and stakeholder engagement skills as well as the ability to prioritise their own workload and work independently to meet deadlines. Candidates will also possess excellent organisational and time management skills as well as a commitment to a high level of customer service.
A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in administration, business or executive support; or an equivalent combination of relevant experience and/or education/training.
Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with a diverse range of stakeholders.
Good judgment and a high level of sensitivity and awareness when dealing with confidential matters.
Excellent stakeholder management, such as the ability to effectively handle, escalate and follow up with stakeholders.
A keen eye for detail combined with sound problem solving skills to proactively identify and resolve or redirect issues.
Broad understanding of administration procedures, organisational structures and functions of the University of Queensland.
A high level of proficiency in the Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Co-Pilot, SharePoint and Teams).
