Executive, Finance

Job Summary
The Executive (Finance)is responsible for managing the organization's Accounts, ensuring timely billing, collection, reconciliation and reporting of receivables.

The role also oversees grants administration and donor management, ensuring accurate recording, compliance with grant requirements, and strong stewardship of donors. The incumbent supports financial reporting, internal controls and collaborates with stakeholders to maintain efficient financial operations.

1. PRIMARY DUTIES:

Accounts Management:

  • Manage the full Accounts cycle, including invoice, billing, receipts allocation and collection follow up
  • Monitor outstanding and ageing reports, ensuring timely collection and escalation of overdue accounts
  • Perform reconciliation and resolve billing discrepancies with internal and external stakeholders.
  • Prepare monthly Accounts reports and provide updates on collection performance.

Grants & Donor Management:

  • Identify, research and pursue relevant grant opportunities from government agencies, foundations and other funding bodies that align with the mosque's strategic priorities.
  • Prepare and coordinate grant applications, proposals and supporting documentation in collaboration with relevant departments.
  • Administer grants received by the mosque and ensure compliance with grant terms, reporting requirements and funding guidelines.
  • Monitor grant utilization, prepare grant claims, progress reports and supporting schedules, and ensure timely submission of all required documentation.
  • Maintain accurate donor records and oversee donation reconciliation, acknowledgement and reporting.
  • Build and maintain positive relationships with grant agencies, donors and funding partners to support long term collaboration.

Financial Reporting & Compliance:

  • Support month-end and year-end financial closing activities relating to receivables, grants and donations.
  • Ensure proper accounting records are maintained in accordance with accounting standards and organizational policies.
  • Assist with audit requests and provide supporting documentation for receivables, grants and donor transactions.


Internal Controls & Process Improvement:

  • Maintain effective internal controls over Accounts , grants and donor management processes.
  • Recommend and implement process improvements to enhance efficiency and accuracy.

2. SECONDARY DUTIES:

  • Banking duties when required.
  • Provide support in fundraising events and initiatives.
  • Provide support in mosque event’s operations and manpower requirements.
  • Provide support in the department’s collective initiatives, and implementations and recommend plans for improvement.
  • Ensure compliance with MFR in the process of monitoring and reporting monies for District’s Office.
  • Amil duties during Ramadan.

Requirements

  • Diploma/Degree in Finance, Accounting, or a related field, or with 5-years of relevant working experience
  • Minimum of 5 years of relevant experience in finance, accounting, or financial analysis.
  • Strong understanding of financial principles, practices, and regulations.
  • Proficiency in financial software and tools.
  • Possess leadership skills, excellent communication skills, problem-solving skills, and interpersonal skills and can work independently, with the ability to maintain confidentiality.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Attention to detail and accuracy in financial data management.
