Executive Meeting Manager

Meetings don't have to feel like meetings. At Margaritaville Hotel Nashville, we're in the business of creating experiences—and our Executive Meetings Manager helps turn corporate gatherings, celebrations, and group events into experiences guests actually enjoy.

In this role, you'll drive guest room and Food & Beverage revenue by building relationships, bringing in new business, and keeping our clients coming back for another round. You'll work closely with clients from the first conversation through the final details, creating meetings and events that are thoughtfully planned, smoothly executed, and distinctly Margaritaville.

We're looking for a confident, relationship-driven sales professional who understands that great business starts with great hospitality. You'll need to be comfortable prospecting for new business, negotiating contracts, conducting site tours, selling the hotel and its experiences, and partnering with our operational teams to make sure we deliver on every promise we make.

What You'll Do

  • Prospect for new business and actively pursue group and meeting opportunities through calls, referrals, networking, social media, lead follow-up, site tours, sales blitzes, and other creative avenues.
  • Build and maintain strong relationships with corporate, business, travel industry, and community partners.
  • Develop new accounts while nurturing existing relationships and finding opportunities to bring clients back to Margaritaville Hotel Nashville.
  • Respond to leads quickly and professionally, understanding the client's needs and finding the right fit for their meeting or event.
  • Evaluate group opportunities based on dates, space, room requirements, revenue potential, and overall hotel needs.
  • Prepare and execute group sales contracts, banquet event orders, group resumes, and other documentation necessary to ensure a smooth experience.
  • Plan, coordinate, and upsell group room blocks and meeting details, including function space, layouts, meeting times, menus, audio-visual needs, billing, and other client requirements.
  • Conduct engaging and informative site tours that showcase the hotel and help clients envision their event with us.
  • Work closely with Front Office, Food & Beverage, Catering, Operations, and other hotel teams to communicate group requirements and ensure a seamless experience.
  • Keep clients informed throughout the planning process and serve as a trusted point of contact from booking through event completion.
  • Contribute to creative sales strategies by understanding historical performance, current trends, market conditions, and account opportunities.
  • Use LinkedIn and other business networking tools to research prospects, strengthen relationships, and uncover new opportunities.
  • Represent Margaritaville Hotel Nashville at trade shows, networking events, community events, industry organizations, sales trips, and other opportunities that increase hotel visibility.
  • Participate in the Margaritaville Lead Referral Program and actively identify business opportunities for other company-managed hotels.
  • Maintain accurate client files, correspondence, sales activity, lead tracking, and other required documentation.
  • Answer and handle incoming calls and inquiries related to meetings, groups, sales, and events.
  • Meet or exceed established sales and revenue goals while protecting the hotel's best interests.
  • Participate in training, departmental meetings, and professional development opportunities.
  • Maintain confidentiality of proprietary information and protect company assets.
  • Maintain positive working relationships with clients, guests, team members, and business partners.
  • Follow all hotel and department policies, procedures, and quality service standards.
  • Report unsafe conditions immediately.
  • Complete other duties and special projects as assigned by the Director of Sales.

What We're Looking For

  • At least 1 year of hotel sales experience preferred.
  • Experience with group sales, meetings, catering, or event sales is a plus.
  • Understanding of group sales contracts and basic negotiation principles.
  • Strong written and verbal communication skills.
  • Confident, personable, and comfortable building relationships with clients and industry partners.
  • Strong organizational and time-management skills with the ability to manage multiple opportunities and deadlines at once.
  • Working knowledge of Microsoft Office.
  • Experience with Delphi is preferred.
  • Ability to understand and support Margaritaville brand standards.
  • Professional appearance and a positive, approachable presence.
  • Bachelor's degree or equivalent hospitality or sales experience preferred.
  • Ability to communicate effectively with guests, clients, and team members.
  • Reliable transportation and the ability to attend off-site sales calls, networking events, and other business activities as needed.
  • Ability to stand, sit, and walk for extended periods during site tours, meetings, events, and other business activities.

Sales & Revenue

  • Consistently works toward and achieves established sales, revenue, lead, contract, and activity goals.
  • Identifies opportunities to increase guest room and Food & Beverage revenue through thoughtful upselling.
  • Builds a healthy pipeline of new business while maintaining strong relationships with existing accounts.
  • Understands the hotel's group segments, target markets, competitive landscape, and unique selling points.

Client Experience

  • Makes every client feel welcomed, valued, and confident that their event is in good hands.
  • Responds to leads and client requests promptly and professionally.
  • Listens to what clients actually need and creates solutions that work for both the client and the hotel.
  • Follows through on details and delivers on commitments.

Relationships & Business Development

  • Builds genuine, long-term relationships rather than simply making a sale.
  • Maintains an active presence in the Nashville business and hospitality community.
  • Uses networking, referrals, social media, industry events, and creative outreach to uncover new opportunities.
  • Represents Margaritaville Hotel Nashville with professionalism, enthusiasm, and personality.

Teamwork & Communication

  • Communicates group and event details clearly and accurately to internal teams.
  • Works collaboratively with Operations, Food & Beverage, Front Office, and other departments to deliver what was promised.
  • Maintains positive relationships with clients and team members even when plans change or challenges arise.
  • Helps create a team environment where everyone is working toward the same great guest experience.

Quality & Organization

  • Keeps client information, contracts, correspondence, traces, and sales activity organized and up to date.
  • Meets deadlines and follows through on details.
  • Maintains department standards and required documentation.
  • Protects confidential information and company assets.
