The Office of the Dean of Science* is seeking a highly capable and detail-oriented Executive Officer to join our team. In support of the strategic growth and operational excellence of the Faculty of Science*, the appointee will play a pivotal role in coordinating and overseeing a broad spectrum of administrative functions of the Office, and provide essential assistance in governance, policy compliance, and data-driven decision-making, working closely with stakeholders across the Faculty and the University.

* The Faculty of Science will be renamed to Faculty of Science and Technology with effect from 1 September 2026, and its Dean’s Office will be renamed to the Office of the Dean of Science and Technology.

Responsibilities:

  • Assist in the coordination and oversight of Faculty-wide administration, ensuring alignment with policies and strategic objectives, while providing substantive support for committees, policy development, and key academic and administrative initiatives;
  • Systematically track, compile, and analyse data and trends across various functional areas, including finances, HR, funded projects, and developmental initiatives. Prepare reports and dashboards to support monitoring and decision-making; and
  • Communicate and coordinate with a wide range of stakeholders (including academic staff, students, central administration, and external partners and agencies) to facilitate governance, collaboration, information flow, and smooth implementation of initiatives.

The appointee is also required to attend to other duties as assigned.

Requirements:

Applicants should possess a recognised bachelor’s degree in a related discipline, preferably with four years of relevant work experience. Experience in robust administration under a local higher education institution setting, particularly in an academic unit, will be a definite advantage.

The ideal candidate should be able to demonstrate the following qualities and competencies:

  • Strong written and verbal communication skills in English and Chinese (Cantonese and Putonghua);
  • Exceptional accuracy and attention to detail in both language use and the handling of complex data, documents, and compliance matters;
  • Possess a genuine interest in governance, policy frameworks and strategic planning, with the ability to navigate diverse interests and perspectives, thus facilitating consensus and ensuring clear, transparent information flow across all parties;
  • Proficient in managing and analysing data, and adept at using appropriate presentation tools and formats to highlight key information and aid understanding; and
  • A multitasking, self-motivated individual who takes initiative, owns deliverables, and thrives in a fast-paced, dynamic environment.

Candidates with less experience may be considered for the post of Assistant Executive Officer.

Shortlisted candidates will be invited to attend a written test. Depending on the candidate’s experience, the initial appointment may be offered on a fixed-term, gratuity-bearing contract of one or two years.

Salary will be commensurate with qualifications and experience.
