Executive Operations Assistant | $1200K - 1500K USD Base monthly + Remote | US Restaurant Operations Company
Our client is hiring an Executive Operations Assistant to support the owner across two companies while owning the operating discipline that keeps both running.
Executive support: inbox, calendar, meeting prep, travel, and the logistics that consume an owner's week. The second is operational accountability: attending every weekly P&L call across four properties, capturing every commitment made, and making sure those commitments are executed by tracking, following up and escalating until nothing falls through the cracks. The ideal candidate is comfortable with a P&L, has hands-on payroll experience in a multi-location environment, and has the credibility and persistence to hold a general manager to a commitment without damaging the relationship.
Responsibilities
- Run a daily 8:00am scrum with the owner: come with the agenda, surface what is blocked and who is blocking it, leave with decisions, and drive follow-through.
- Attend all weekly P&L calls and property team calls; publish a structured recap within 24 hours capturing numbers discussed, commitments made, and issues flagged.
- Maintain a running action list across all properties: who owns it, when it is due, what happened and follow up mid-week so they are resolved before the next call.
- Run payroll every two weeks: reconcile against schedules, punches, and approved changes; catch missed punches, unapproved overtime, and tip-reporting errors before they are baked in.
- Own the inbox and calendar for both companies: triage daily, surface what requires the owner's input, handle what does not, and prepare a short prep note before every external meeting.
- Build and maintain a compliance and renewals calendar covering licenses, inspections, insurance, certifications, entity filings, and software subscriptions.
- Produce a Monday morning reporting package the owner can read in ten minutes: where each property stands, what is off track, and what needs a decision that week
- Maintain a running decision log so any question six weeks later can be answered in thirty seconds.
- 3+ years of experience in executive support, operations coordination, or multi-unit restaurant or retail management (preferred)
- Comfortable reading a P&L: food cost, labor percentage, and prime cost should mean something on sight; accounting expertise not required, but operational fluency is.
- Hands-on payroll experience in a multi-location or hourly-workforce environment.
- Organized in a way that is visible to other people: your systems work when you are not in the room.
- Able to hold a GM to a commitment without being heavy-handed — this role runs on credibility and persistence, not direct authority.
- Highly discreet: exposure to financials, compensation, and personnel matters across every property and both companies.
- Available and ready at 8:00am EST every day.
- Restaurant background is a strong plus.
