Job Title: Executive Personal Assistant & House Manager

Location: Mt. Arlington, NJ 07856

Employment Type: Part-time, 20–25 hours per week

Schedule: Monday–Friday, flexible afternoons between 11:00 AM–6:00 PM.

Responsiveness and adaptability are valued — this household moves quickly and occasional schedule shifts may be needed.

Compensation: $33–$38/hour, based on experience

We’re a busy, ambitious couple who recently relocated to New Jersey and are excited to put down roots and build our life here. We both have demanding, fast-paced careers — one of us works primarily from home, while the other is growing a local business — and as our professional lives continue to ramp up, we’re looking for someone exceptional who can help bring more ease, structure, and intention to everything happening behind the scenes.

Our home is important to us, and we want it to feel calm, organized, thoughtful, and distinctly ours. While the boxes may be unpacked, we’re still very much in the process of creating the systems and rhythms that will make our household run seamlessly. We see this role as an opportunity for the right person to come in, understand how we live and work, and help us build those systems from the ground up.

We’re naturally efficiency-minded and love finding smarter ways to do things. Technology, automation, and thoughtful systems are a big part of how we approach our professional lives, and we’d love to bring that same mindset into our home. Whether that means creating an intuitive household organization system, taking ownership of vendors and appointments, streamlining travel logistics, or finding a better way to manage recurring tasks, we value someone who is always thinking a step ahead.

We share our home with two cats and already have a trusted cat sitter and several household vendors whom we’d love our house manager to coordinate and manage. We’re also happy to outsource certain tasks when it makes sense — we’re much more interested in finding someone who can own the big picture than someone who simply completes a checklist.

Key Responsibilities

Executive Personal Assistant Support

  • Travel planning and logistics for both work and personal travel, including pre-scheduling airport transportation
  • Calendar management (household and work-related)
  • Receipt and budget tracking; expense management
  • Appointment and event coordination (medical, personal, household)
  • Document management: scanning, filing, bill summaries, and payment tracking
  • Coordinating document signings (notarization, POA, etc.)
  • Ad hoc tasks and special projects (e.g., sending correspondence, coordinating one-off needs)
  • Planning and logistics support for household and work-related meetings

Household Organization & Maintenance

  • Design, build, and implement household organization systems — pantry, closets, cupboards, and storage
  • Assist with interior design and home setup: coordinating artwork hanging, sourcing soft furnishings, rugs, and decor items
  • Indoor plant care
  • General home maintenance tasks: replacing batteries, light bulbs, smoke detectors, and flagging or coordinating repairs as needed
  • Event and guest prep for family visits and larger gatherings

Inventory & Errands

  • Manage household supply lists and restocking: pantry, fridge, and household goods
  • Manage household subscriptions and recurring orders (Amazon, Costco, etc.)
  • Handle general errands: returns, dry cleaning, gift shopping
  • Mail and package handling; breaking down boxes
  • Vehicle management: schedule maintenance, coordinate fueling and cleaning, track registration and insurance

Vendor & Property Oversight

  • Serve as the primary point of contact for cleaners, landscapers, and contractors
  • Research, coordinate, and oversee vendors and repair quotes
  • Oversee biweekly cleaning team and prepare the home ahead of visits

Pet Care

  • Pet care coordination: vet scheduling, emergency transport as needed, ordering supplies, and managing existing cat sitter around travel

Deep Cleaning & Special Projects

  • Coordinate deep cleans and special organizational projects as the home evolves

Meal Support

  • Manage grocery ordering or pick-up
  • Open to exploring meal delivery services (e.g., HelloFresh) as a complement based on the candidate's strengths

Laundry & Linens

  • Coordinate laundry and dry cleaning; potential to put away, manage, or outsource as needed
