Summary

Provide executive and administrative support to a Chief Marketing Officer and client services team in a financial services firm, handling documents, reports, compliance, and client communications.

  • Provide secretarial and administrative support to Chief Marketing Officer.

Administrative Support to Client Services Team

  • Prepare documents (e.g. IMAs, account profiles, supplementals) for execution/circulation, presentation materials and reports for meetings, letters to clients; draft replies/letters, prepare monthly report for management reporting, monthly and adhoc reports to clients.
  • Update and maintain records of clients’ data; maintain filing system for proposals, presentations, minutes of meetings, and email correspondences/letters, etc. with clients.
  • Update Operations Manual for compliance purposes where necessary; attend to Regulatory Compliance's requests for audit purposes; conduct AML/PEP checks.
  • Assist in operational risk management matters like risk and control assessment/scorecard.
  • Keep track and follow up on required documentation and other matters that the team need to take action.

Provide administrative support to BD Division:

  • Make travel arrangements, prepare pre-trip procurements and do post-trip claims in addition to other business-related claims like transport, entertainment, etc.
  • Print and bind presentations.
  • Arrange meetings; prepare set-up at meetings, etc.
  • Assist in other work/project assigned from time to time e.g. division events.

Job Requirements:

  • Diploma or Degree in Business Administration, Banking & Finance, or a related discipline.
  • Minimum 3 years’ relevant secretarial experience, preferably from the financial industry.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and basic office systems.
  • Calendar management: scheduling, coordinating meetings, sending invites, booking rooms.
  • Basic finance admin: claims, invoices, purchase requests etc.
  • Good written and spoken communication skills.
  • Good co-ordination skills with internal teams and external parties (clients/vendors).
  • Strong organization and time management; able to prioritise and handle multiple tasks.
  • Discretion and confidentiality (handling sensitive information).
  • Reliability, initiative, and ability to work independently.
  • Problem-solving and follow-through.
