Job Summary
The Executive Secretary will provide administrative and secretarial support to the Executive, including calendar management, meetings, travel, correspondence, documentation, and executive office coordination.
Responsibilities
- Organise and manage the Executive’s calendar, meetings, appointments, conference calls, and travel arrangements to ensure efficient time management.
- Screen, prioritise, and redirect calls, emails, and correspondence to facilitate timely decision-making.
- Prepare, review, and edit correspondence, reports, presentations, and meeting materials to support executive communications.
- Attend meetings as required, take accurate minutes, and follow up on action items to ensure completion.
- Conduct research, compile data, and prepare reports to support special projects and decision-making.
- Coordinate executive events and liaise with internal and external stakeholders.
- Manage expense claims, receipts, and related documentation.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Perform general executive office administration and other ad-hoc duties as assigned.
Preferred Competencies and Qualifications
- Experience in executive, secretarial, personal assistant, or senior administrative support roles.
- Strong organisational, communication, coordination, and time-management skills.
- Strong attention to detail with the ability to manage documents, deadlines, and multiple priorities.
- Ability to handle confidential information professionally and discreetly.
- Proficiency in Microsoft Office or equivalent productivity tools.
- Ability to communicate effectively in Mandarin and read and write Chinese, as the role requires regular communication with Mandarin-speaking stakeholders and handling Chinese-language correspondence and documentation.
