Job Summary
Support efficient office operations by managing administrative tasks, stock and pantry inventory, statutory safety permits, equipment maintenance, vehicle documentation, supplier liaison, and front-office hospitality to ensure smooth business processes.
Responsibilities
Maintain and update filing records to ensure accurate document management
Respond to phone enquiries promptly to support internal and external communication
Manage emails and attend to walk-in visitors to facilitate effective office interactions
Serve coffee, tea, or beverages to incoming guests and visitors
Handle daily incoming stock, prepare Purchase Orders (POs), and verify received stocks (Level 1 & 2)
Maintain and update stock inventory records and place orders to ensure adequate supplies
Keep track of company daily grocery, pantry supplies, stationery, and office grocery, including tracking and purchasing
Liaise with suppliers to request product samples and manage reorders
Track staff and worker CSOC permits and CoreTrade expiry dates to ensure compliance
Coordinate MOM compressor maintenance, servicing, repair, and renewal
Manage vehicle road tax and insurance renewal to ensure compliance with regulations
Collaborate with other departments to resolve administrative issues efficiently
Perform office and operational administrative duties and provide ad-hoc support as needed
Preferred Competencies and Qualifications
Diploma/Advanced/Higher/Graduate Diploma in any field
Experience in a similar clerical or admin position is advantageous
Familiarity with office administrative procedures
Proficient in MS Office applications
Strong organizational, hospitality, and multi-tasking skills
Proficiency in English and Chinese to liaise with Chinese-speaking suppliers and associates
Immediate availability or short notice preferred
