Summary
Supports the Facilities Department by managing mail, office supplies, vendor contracts, and administrative tasks like scheduling and document preparation.
Role
In support of AltaOne Federal Credit Union’s Vision, Mission, Values and Culture, the Facilities Support Specialist is responsible supporting the day to day activities for the Facilities Department. This includes overseeing all mail and package operations, maintaining office supplies, preparing documents and reports, and managing our vendors. The Facilities Support Specialist is also responsible for directing incoming communications, scheduling and preparing meetings, and ensuring smooth operations of the department.
Major Duties and Responsibilities
Oversees the processing of incoming and outgoing mail, packages, and associated records.
Collect incoming mail from the post office when necessary.
Maintain dual custody with mail items when necessary.
Support in managing external vendors for janitorial services, landscaping, security services, and other facilities related contractors.
Monitor and report on vendor performance to ensure they’re meeting service level agreements and resolve any issues promptly.
Provide support in preparing documents, reports, and presentations when needed.
Maintain accurate records of maintenance requests, completed repairs, and inspections. Track status of ongoing work or projects and communicate progress to Facilities Supervisor.
Manage and track the materials and supplies required for facilities maintenance, ensuring timely restocking.
Answer and direct calls, emails, and other correspondence to the proper departments and individuals.
Assist in planning for and setting up for meetings, trainings, or events, and ensure the proper equipment is in place.
Perform other duties as assigned.
