- Coordinate and oversee daily facilities, workplace services, and office administration activities to ensure the efficient operation of the Bermuda office.
- Manage maintenance requests, repairs, inspections, office moves, workspace planning, occupancy initiatives, and facility improvement projects.
- Liaise with building management, landlords, contractors, vendors and service providers regarding facility-related matters ensure quality and timely service delivery of goods and services.
- Maintain office equipment, supplies, amenities, facilities documentation, floor plans, and workplace records.
- Monitor workplace standards to ensure a clean, safe, professional, and welcoming environment.
- Serve as a primary point of contact for employees regarding workplace services, office procedures, and facilities-related inquiries.
- Coordinate employee onboarding and offboarding activities, including workspace setup and access requirements.
- Manage meeting room scheduling, setup requirements, catering arrangements, and event support.
- Assist with employee engagement initiatives and workplace experience programs.
- Process invoices, payments, purchase requests, and support contract administration activities.
- Maintain accurate records related to vendors, contracts, facilities expenditures, and operating budgets.
- Provide strategic oversight of corporate facilities operations, including offices, staff accommodations, and condominiums, directing property preparation, maintenance, repairs, inspections, and vendor relationships to ensure facilities are maintained to the highest standards of safety, functionality, and presentation.
- Lead the management and resolution of facility-related matters, ensuring the timely execution of maintenance and repair initiatives and the continuous readiness of all corporate properties for occupancy through proactive planning, monitoring, and coordination of service providers.
- Support workplace security administration, including access control and visitor management processes.
- Assist with workplace health and safety programs, inspections, audits, corrective actions, and emergency response procedures.
- Maintain First Aid supplies and support emergency preparedness and business continuity planning initiatives.
- Support operational, strategic, and workplace-related projects across the organization.
- Identify and implement opportunities to enhance workplace operations, service delivery, employee experience, and operational effectiveness.
- Support departmental and organizational projects.

Qualifications & Experience
- Bachelor's degree or an equivalent combination of education and relevant work experience.
- Minimum of two (2) years of experience in facilities coordination, office administration, workplace services, hospitality, customer service, or a related field.
- Experience coordinating workplace operations, vendors, meetings, events, and employee support services within a corporate environment.
- Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Strong written, verbal, and interpersonal communication skills.
- Demonstrated ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
- Valid driver's license.
- Ability to lift and move materials weighing up to 30 pounds.
- First Aid and CPR Certification, or willingness to obtain certification.

- Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, Teams, and SharePoint.
- Demonstrated ability to manage multiple priorities and work effectively in a fast-paced environment.
