Facilities Coordinator

GENERAL
● Maintain plant rooms, back-of-house areas, and storage spaces in a clean, safe, and organized condition.
● Support stock checks for janitorial supplies, tools, and facility equipment, reporting replenishment needs.
● Record inspections, maintenance activities, and tasks in digital systems or logbooks.
● Assist other departments with operational tasks as needed.
● Report security concerns or unusual situations to the Management team.
MAINTENANCE & CLEANING
● Monitor daily cleaning across public areas, staff spaces, and exhibition areas.
● Carry out basic minor non-specialist maintenance (e.g., replacing bulbs, touching up paint).
● Support planned preventative maintenance (PPM) by inspecting spaces regularly and reporting defects promptly.
● Assist with periodic deep cleaning, seasonal refresh projects, and exhibition turnover cleaning.
● Assist with periodic deep cleaning, seasonal refresh projects, and exhibition turnover cleaning.

HEALTH, SAFETY AND ARBO COMPLIANCE
● Conduct daily site inspections to identify hazards, damage, or safety concerns and report them to the management team.
● Use and store cleaning and maintenance products safely, in accordance with Dutch safety and Arbo guidelines.
● Follow manual handling techniques, PPE requirements, and museum safety procedures.
● Monitor fire drills, support emergency evacuation procedures and maintain accurate fire safety logbooks and report any deficiencies to the management team.
● Monitor environmental conditions such as temperature and humidity and report abnormalities promptly.
EXHIBITION & EVENT SUPPORT
● Assist with basic setup and breakdown of temporary structures, signage, barriers, and equipment.
● Provide logistical support for museum events, ensuring smooth setup, execution, and breakdown.
● Support management teams during exhibition installations and changeovers.
● Help with basic AV/technical tasks such as power resets and simple troubleshooting.
● Work discreetly in visitor areas to maintain a smooth, non-disruptive museum experience.
VENDOR AND CONTRACTOR COORDINATION
● Support coordination of external vendors and maintenance suppliers.
● Monitor the quality of recurring services and report issues to the Management team.
● Document contractor visits, completed work, and any follow-up actions required.
● Knowledge of general Dutch health & safety (Arbo) practices, including safe lifting and proper use of PPE.
● Comfortable working at height (ladders) and in plant or technical areas.
● Awareness of safe handling and storage of cleaning and maintenance materials.
● Ability to safely use basic hand tools and simple power tools.
● BHV certification is a plus (or willingness to obtain).
● Basic understanding of building systems such as HVAC, lighting, or BMS (preferred).
● Strong problem-solving skills and ability to react quickly to unexpected issues.
● Good communication skills and a proactive, positive, and collaborative mindset.
● Accuracy in completing checklists, logs, and maintenance documentation.
● Basic English and Dutch communication skills.
● Physically able to perform maintenance activities (lifting, carrying, standing, walking).
● Flexibility to support early mornings, evenings, weekends, or special events when needed.
