Facilities Manager

The essential responsibilities include:

1. Hard Services & Engineering Management

· Preventive Maintenance: Develop, schedule, and execute comprehensive preventive maintenance programs for all critical building systems, including HVAC, electrical grids, plumbing, lifts/escalators, and backup power infrastructure.

· Structural Inspections: Conduct routine audits of building facades, roofs, flooring, and core structural components to proactively identify and rectify defects before they impact daily business operations.

· Asset Lifecycle Tracking: Maintain rigorous documentation tracking the entire lifecycle of assets from procurement and testing through to maintenance and decommissioning.

2. Soft Services & Workplace Environment

· Security & Access Control: Manage the deployment of physical security personnel, maintain and review CCTV networks, oversee access control permissions, and ensure alarm systems are regularly tested and operational.

· Housekeeping & Sanitation: Supervise cleaning schedules, waste disposal and recycling frameworks, and routine pest control management to maintain high aesthetic and sanitation standards.

· Front-of-House Logistics: Standardize and oversee visitor reception protocols, mailroom operations, and the physical delivery of workplace amenities.

3. Vendor, Contract, & Project Management

· Procurement & Tenders: Prepare technical scopes of work, solicit and evaluate competitive vendor quotes, and lead commercial contract negotiations for external engineering or facility partners.

· Contractor Supervision: Audit the performance and on-site safety compliance of third-party vendors against established Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).

· Renovation & Refurbishment Support: Serve as the lead operational liaison between corporate steering committees, landlords, and external contractors during engineering overhaul projects, asset additions, or cosmetic updates.

4. Health, Safety, Compliance, & Risk Control

· Regulatory Compliance: Guarantee that all properties and infrastructure components comply with local building codes, electrical standards, environmental protections, and structural ordinances.

· Emergency Planning: Update, drill, and optimize emergency response procedures, including fire evacuation maps, building lockdown parameters, and robust business continuity structures.

· Risk Assessment: Lead routine safety inspections and engineering hazard reviews to prevent operational downtime or legal liabilities.

5. Financial Management & Sustainability

· OPEX & CAPEX Budgeting: Formulate and tightly track annual operational and capital expenditure budgets, optimizing repair costs and managing resource allocation.

· Energy & Resource Optimization: Regularly monitor utility consumption metrics and champion green initiatives—such as commercial LED retrofits or solar power transition agreements—to reduce overhead and corporate carbon footprints.

Key Selection Criteria (Requirements & Qualifications)

• Experience: Minimum of 4–6 years of proven experience in Commercial Facilities Management, Property Management, or a related operational leadership role.

• Education: Diploma in Facilities Management, Civil/Mechanical/Electrical Engineering,

• Technical Knowledge: Sound understanding of mechanical, electrical, plumbing (MEP), and HVAC systems, alongside deep familiarity with building safety acts and fire regulation frameworks.

• Systems Literacy: Hands-on proficiency with Computerized Maintenance Management Systems (CMMS) or Building Management Systems (BMS).

• Soft Skills: Strong contract negotiation skills, clear and direct professional communication, and a proven ability to coordinate effectively with landlords, field technicians, and corporate teams.
