Facilities Manager

The Facilities Manager will oversee day-to-day building operations and maintenance for Diversion Hub’s site(s), ensuring a safe, functional, and welcoming environment for clients, staff, and partners. This role serves as the primary point of contact and liaison between the organization and outside vendors, landlords, inspectors, and contractors. This position reports to the Chief Operations Officer.
RESPONSIBILITIES
- Demonstrating capacity for professional facilities practice, exemplifying organizational values, and promoting the mission of the organization.
- Managing preventive and corrective maintenance for building systems (HVAC, electrical, plumbing, life-safety, access control, CCTV), including scheduling, tracking, and documentation.
- Conducting regular facility inspections; documenting work orders, asset inventories, and maintenance logs to maintain complete and accurate records.
- Ensuring compliance with OSHA, fire/life-safety, ADA, and local codes; coordinating permits, inspections, drills, and timely corrective actions.
- Serving as on-going liaison with Operations, Programs, vendors, landlords, and public inspectors, maintaining effective communication channels and positive working relationships.
- Supporting space planning and moves, including room setups, furniture layouts, small buildouts, and maintenance of floor plans and key/badge inventories.
- Leading or supporting emergency responses for weather events, outages, or building issues; serving as after-hours point of contact as needed.
- Submitting required facilities reports and providing timely communication of closures, outages, and ETAs to staff and partners to ensure adequate operations.
- Facilitating staff access to resources and services (supplies, equipment, fleet/vehicle coordination if applicable), ensuring safe work practices and proper PPE use.
- Always adhering to agency code of ethics and professional standards, including maintaining safe work conditions and respectful, service-oriented communication.
- Attending all staff development, trainings, and meetings as required.
- Perform routine groundskeeping duties, including mowing, edging, weed control, watering (as needed), and maintaining flower beds and landscaped areas.
- Maintain the cleanliness of the facility's exterior, including regularly inspecting the property, parking lots, sidewalks, and entrances, and removing trash, debris, and other hazards to ensure a clean and welcoming environment.
