The position of Facility and Key Control Manager works with minimal supervision as a member of the department managerial team to support the mission of the Facility Services team including oversight, timely completion and management of all safety, training and compliance related programs, audits and activities that Facility Services is required to abide by. The Facility and Key Control Manager will perform various duties that assure and enhance operational efficiencies and quality controls of the Facility Services department. The Manager will be responsible for assessing the operational work flows and best practices for Maintenance, Custodial and Grounds departments to streamline and enhance staff training and communications for greater overall departmental productivity. Is instrumental in managing the Key Control System and processes and daily operation of the Asset Essentials Computerized Maintenance Management System (CMMS) program. The Facilities and Key Control Manager will be responsible for repair and preventive maintenance work order monitoring and management as well as collecting information on equipment, parts and consumable materials and inputting that information into the CMMS. Required Qualifications:
• Management skills as demonstrated by previous duties, jobs or academic achievements. This may be demonstrated with an associate or bachelor’s degree, or in related job experience in, or servicing, a large multi-purpose facility. Combinations of education and experience will be considered. Minimum of three years in a supervisory role preferred.
• Previous experience in a facilities management environment or closely related area.
• Supervisory/management experience in a facilities management environment preferred.
•Knowledge and experience with state maintenance, construction, and procurement procedures preferred.
•Ability to analyze and react to situations in a problem-solving capacity.Job Specification
Knowledge Skills and Abilities:
• Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
• Possess analytical and problem-solving skills, have ability to define problems, collect data, establish facts, and draw valid conclusions. Able to interpret a variety of technical instructions and workflows and articulate it accurately to the Facility Services staff in written and verbal form.
• Intermediate knowledge of Word, Excel, PowerPoint and Outlook required.
• Maintenance Management, Work Planning and Control experience required
• Knowledge of CMMS systems and database administration experience
• Experience with or knowledge of computerized Procurement or Inventory Control systems
• Working knowledge of Microsoft Access and database management a plus
•Ability to prioritize and plan work activities and maintain confidentiality.

- Position Duties & Responsibilities:
• Develops, monitors and maintains all day-to-day activities related to the design, installation and customer service transition to the Upgraded Key Control System (KCS) program.
• Demonstrate a thorough knowledge of Key Control System software and possess the data processing skills required to monitor and maintain a current and highly accurate Key Control System database.
• Demonstrate a thorough knowledge of locking devices, both manual and electronic, to integrate the locking devices and their associated maintenance tasks into the applicable equipment records of the CMMS.
• Demonstrate a thorough knowledge of supplier management best practices and quality standards for oversight of the LSUS Term Contract for Locksmith related services.
• Demonstrate a thorough knowledge of the work order creation and completion process so to monitor and manage work quality and productivity.
• Demonstrate a thorough knowledge of procurement, inventory management, warehousing and distribution of equipment, parts and consumable materials.
• Demonstrate the related clerical, communication and data processing skills required to monitor and maintain an up-to-date and highly accurate equipment, parts and conforms the duties of the quality inspector to develop, establish and maintain Facility Services safety and quality control standards. Will assist in the development of safety and quality training guidelines needed to teach employees safety and quality expectations. Develop quotes for needed services related to key controls, grounds and maintenance equipment repairs. Act as a backup for the input of requisitions and processing invoices. other administrative duties.
• Conducts regular inspections of all trade and service activities to document and report any substandard workmanship, safety hazards or non-compliance to established Facility Services quality and customer service protocols and procedures
• Conducts regular training on the safety aspects of all trade and service activities of Facility Services. Will also conduct periodic training on established Facility Services quality and customer service protocols and procedures.
• Performs the duties of the Owners Representative to assist service vendors and contractors as required in fulfilling their contractual obligations in accordance with established guidelines and procedures.
• Presumable inventory for the maintenance, and grounds,
• Perform other duties and special projects assigned.
