The Facilities Coordinator supports day-to-day facilities operations across multiple sites with a focus on facility improvements, CMMS workflow management, vendor coordination, project documentation, and operational efficiency. This entry-level position provides recent graduates the opportunity to apply academic knowledge in a hands-on facilities environment while developing skills in maintenance operations, project coordination, compliance, and continuous improvement initiatives.
The Facilities Coordinator assists with managing maintenance processes, improving standard operating procedures, maintaining facility documentation, coordinating schedules, and supporting overall facility performance. This role serves as a foundation for career growth within facilities management and operations.
Essential Duties & Responsibilities
- Manage CMMS workflows including:
- Work order creation
- Work order tracking
- Maintenance workflow optimization
- Reporting and documentation
- Support facility improvement initiatives by identifying operational efficiencies and recommending process enhancements.
- Assist with the development and implementation of procedures and standard operating procedures (SOPs) for routine facility activities.
- Coordinate vendor management activities including:
- Vendor communication
- Performance tracking
- Contract compliance support
- Invoice processing
- Service coordination
- Maintain project documentation, including:
- Project records
- Completion documentation
- Financial tracking
- Accrual reporting
- Support operational financial processes by monitoring project costs and assisting with reporting requirements.
- Maintain and update facility documentation including:
- Floor plans
- Building drawings
- Equipment documentation
- Asset records
- Coordinate schedules and calendars for:
- Preventive maintenance activities
- Inspections
- Vendor visits
- Facility projects
- Team meetings
- Assist with preventive maintenance planning and tracking to support facility reliability and compliance.
- Conduct facility audits and assist with identifying opportunities for improvement.
- Research and recommend best practices to improve operational efficiency.

Qualifications Education
