Key Responsibilities
Grant Administration & Claims Processing
- Process grant claims in accordance with funding guidelines, ensuring claim amounts are accurately verified against supporting documents.
- Liaise with grantees and internal stakeholders to resolve grant-related matters and facilitate smooth claim processing.
- Monitor and review audit report submissions from grantees, coordinating with relevant parties to clarify audit findings where necessary.
- Raise invoices in the financial system for grant payment disbursements after claims have been endorsed.
- Prepare and submit reimbursement requests to funding sponsors and monitor receipt of funds.
Financial Reporting & Reconciliation
- Prepare monthly reconciliations for grant disbursements and receipts.
- Assist in preparing monthly management reports to track key grant administration indicators.
- Organise and maintain accurate financial records, documentation, and supporting files to ensure traceability and compliance.
General Administrative Support
- Support ad-hoc projects and initiatives within the Finance Department.
- Perform other administrative and finance-related duties as assigned.
Requirements
- Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline.
- Minimum 1 year of experience in finance operations, administration, or a related field.
- Experience with grant claims and grant administration processes is highly preferred.
- Familiarity with government grants or research funding frameworks will be an advantage.
- Strong verbal and written communication skills with the ability to liaise with internal stakeholders, government agencies, and private companies.
- Proficient in preparing financial data, billing computations, reconciliations, and invoice processing.
- Proficient in Microsoft Office applications.
- Meticulous, organised, and systematic with strong attention to detail.
- Able to work independently while contributing effectively in a team-oriented, fast-paced environment.
