Description

About the Role

Telus Holdings is seeking a detail-oriented Finance Operations Manager to oversee the operational and financial administration of the portfolio. This is a hands-on, individual-contributor role with ownership of day-to-day operating processes, rather than a people-management mandate. The role coordinates personally held investment accounts and company-held asset data to maintain accurate records, secure transaction processing, cash-flow visibility and timely reporting support.

Key Responsibilities

Fund and Investment Operations

· Coordinate with fund administrators, private banks, custodians, brokers and external advisers on statements, NAVs, settlement confirmations, fees and operational queries.

· Conduct operational due diligence on investment managers, administrators, custodians and service providers, focusing on controls, asset segregation, reporting and settlement arrangements.

Reconciliation, Financial Records and Reporting Support

· Reconcile cash, holdings, transactions, income, fees and valuation data across banks, brokers, funds and other platforms. Independently investigate discrepancies, outstanding settlements and missing records, and follow each exception through to documented closure.

· Consolidate asset-level data from personal investment accounts and company finance teams into a consistent family-office record, including ownership mapping and reconciliation of accounting versus portfolio valuation bases.

· Prepare and validate reconciled month-end data packages for the investment and portfolio-reporting teams; explain material differences in cash, fees, valuations and ownership records, and prevent double counting of company-held assets.

Cash Flow, Liquidity and Payment Controls

· Maintain rolling 12–24 month cash-flow and liquidity forecasts covering capital calls, distributions, investment maturities, insurance premiums, taxes, property obligations and other committed payments.

· Prepare and verify investment-related payment and transfer instructions, including beneficiary checks, approved-account verification and independent callback procedures for changes.

· Follow maker-checker controls: organise review and approval by designated authorised parties; verify settlement and receipt of funds or assets before closing transactions.

Account Administration, Compliance Coordination and Documentation

· Maintain account registers, signatory and access records, KYC / CRS / FATCA documentation, relevant investor declarations and renewal calendars.

· Coordinate tax, audit, legal and valuation information with external specialists; maintain complete supporting documentation, contracts, ownership records and transaction audit trails.

· Support investment committee administration, meeting records, execution-readiness checks and follow-up of agreed operational actions.

· Coordinate financial data on directly held real estate, insurance and other alternative assets with responsible teams; support cash, tax and valuation records without taking over their day-to-day operations.

Requirements

· Degree or diploma in Accountancy, Finance, Banking or a related discipline, or equivalent relevant professional experience.

· 3–6 years of relevant experience in fund operations, fund administration, investment operations or asset management operations, including hands-on responsibility for fund transactions, capital calls, reconciliations and settlements.

· Practical knowledge of fund subscriptions/redemptions, capital calls, distributions, NAV statements, cash and position reconciliations, and investment settlement processes.

· Strong Excel skills; able to organise complex multi-entity financial records, investigate discrepancies and meet recurring reporting deadlines.

· Understanding of KYC/AML processes, CRS/FATCA documentation and financial control procedures; ability to coordinate with tax and compliance advisers.

· Strong written and spoken English, high attention to detail, confidentiality, sound judgement and the ability to work independently.

Additional Advantages

· Experience supporting a single or multi-family office, private markets, private banks, custodian platforms or fund administrators.

· Exposure to private equity, private credit, hedge funds, brokerage platforms or cross-border asset structures.

· Ability to review Chinese-language financial or investment documents and communicate with Mandarin-speaking stakeholders when required for assigned work.

· Familiarity with portfolio reporting systems and digital asset account reconciliation is useful but not essential.

Application

Interested candidates may submit a CV outlining relevant fund operations experience, asset classes covered, reconciliation and reporting responsibilities, and notice period.
