We are seeking a versatile, self-directed Financial Manager to oversee and manage the day-today and end-to-end financial operations of our Family Office. This is a remote role that requires strong self-management, the ability to structure your own time, meet deadlines without close oversight, and stay proactively engaged with the family and internal stakeholders through regular check-ins. While hours can be structured flexibly, this flexibility assumes a candidate who is self-directed, reliable, and accountable for their own output. The position spans the full accounting and financial spectrum: from hands-on data capture, invoicing, and payment processing to high-level financial reporting, year-end audits, and tax compliance across various family entities and holding structures. Given the sensitivity of the information involved, absolute discretion and confidentiality are essential, as is meticulous accuracy in record-keeping and financial calculations. The successful candidate will be hands-on and adaptable, equally comfortable with foundational tasks and complex advisory work, and able to communicate financial information clearly to non-financial family members and executive stakeholders.
Key Responsibilities
1. Daily Bookkeeping & Transaction Management
- Data Entry & Reconciliations: Capture all daily transactions, manage journal entries, and perform monthly bank and credit card reconciliations across multiple accounts and entities.
- Accounts Payable (AP): Process invoices, verify approvals, schedule electronic payments, and manage vendor relationships.
- Accounts Receivable (AR): Issue invoices, track receivables, and follow up on outstanding payments or inter-company recharges.
2. Cash Flow & Banking
- Maintain daily/weekly cash flow monitoring and short-term liquidity forecasting.
- Execute fund transfers between internal accounts, investment vehicles, and personal accounts as authorized.
- Oversee credit card management, expense reimbursements, and petty cash processing for family members and office staff.
3. Financial Reporting & Ledger Management
- Prepare accurate month-end, quarter-end, and year-end balance sheets, income statements, and management accounts.
- Maintain the general ledger and oversee inter-company accounts and loans across group entities.
- Track investment portfolios, real estate holdings, and private equity investments in coordination with external investment managers.
4. Tax Compliance & Planning
- Prepare, review, and file statutory tax returns (e.g., VAT/GST, Income Tax, Payroll Tax, Withholding Tax) in compliance with local regulations.
- Collaborate with external tax advisors to assist in family tax structuring and year-end personal/corporate tax filing.
- Ensure all transactional documentation meets tax compliance and reporting standards.
5. Financial Audits & Governance
- Lead the preparation for internal and external annual financial audits.
- Act as the primary point of contact for external auditors, compiling schedules, workpapers, and documentation.
- Establish, document, and enforce internal financial controls, approval processes, and governance policies.
6. Statutory, Secretarial & Regulatory Administration
- Company Secretarial Duties: Manage routine company secretarial administration across relevant family entities, including maintaining statutory records, resolutions, registers and supporting documentation.
- CIPC Submissions: Prepare, coordinate and submit CIPC filings as required, including annual returns, director or company changes, beneficial ownership updates and other statutory submissions.
- SARS eFiling Administration: Manage SARS eFiling profiles, submissions, payments, statements of account, notices and follow-up queries in conjunction with external tax advisors where applicable.
7. Payroll Administration & Statutory Payroll Compliance
- Monthly Payroll: Prepare and process monthly payroll accurately and timeously, including salary schedules, payslips and payroll controls.
- Employee Tax Submissions: Manage employee tax-related submissions and ensure payroll information is complete and accurate for statutory reporting.
- UIF and SDL: Administer UIF and SDL calculations, submissions and related reconciliations in line with statutory requirements.
- EMP201 and EMP501 Reconciliation: Prepare monthly EMP201 submissions and assist with bi-annual and annual EMP501 reconciliations.
- Payroll Journals and Salary Payments: Prepare payroll journals, reconcile payroll accounts and coordinate salary payments after the required approvals.
- Domestic or Household Employee Payroll: Administer payroll for domestic or household employees where applicable, including related statutory compliance.
Requirements
Education: Professional accounting qualification (CA(SA) or CIMA)
Experience: 3–6 years of progressive accounting and financial management experience, ideally within a Family Office,
Private Wealth Management firm, Audit Firm, or multi-entity SME environment but not a requirement.
Technical Skills:
- Proficiency in accounting software (e.g., Xero).
- Advanced Microsoft Excel skills (pivot tables, financial modelling, VLOOKUP/XLOOKUP) would be valuable.
- Solid understanding of local tax regulations, statutory reporting, and IFRS standards.
- Practical experience with SARS eFiling is required, including tax submissions, payments, profile administration, statements of account and query follow-ups.
- Experience with company secretarial administration and CIPC submissions is required or highly advantageous, particularly in a multi-entity environment.
- Experience with monthly payroll administration is required, including employee tax submissions, UIF, SDL, EMP201 and EMP501 reconciliations, payroll journals and salary payments; experience with domestic or household employee payroll is advantageous where applicable.
