As a Fire Alarm Project Coordinator, you will support the Project Managers and Fire Alarm Division Manager with project coordination, scheduling, permitting, documentation, monitoring setup, and administrative tasks. You will work closely with field technicians, project managers, customers, jurisdictions, accounting, and estimating to help ensure projects are completed accurately, efficiently, and on schedule.

Job Summary
We are seeking a dependable, organized, and detail-oriented Fire Alarm Project Coordinator to support the daily operations of the Fire Alarm Department. This position will assist Project Managers and the Fire Alarm Division Manager with project setup, inspections, plan submittals, monitoring accounts, closeout documentation, change orders, and estimating support.
The successful candidate will be an effective communicator and multi-tasker who can manage multiple projects and deadlines while maintaining accurate records and providing excellent customer and team support.
Core Responsibilities
1. Project & Account Coordination
- Input required project information and set up accounts in Stages and AvantGuard.
- Set up Telguard accounts and maintain accurate monitoring information.
- Set up monitoring agreements and update monitoring account records in coordination with Accounting.
- Assist with project change orders and related documentation.
- Support Project Managers and the Fire Alarm Division Manager with daily project needs.
2. Inspections & Scheduling
- Schedule inspections for field crews through Accela and other required jurisdictional systems.
- Coordinate inspection requirements with jurisdictions, field personnel, and project managers.
- Track inspection status and follow up as needed to help keep projects moving.
3. Plan Submittals & Permitting
- Coordinate complete plan submittal packages, including scanning, uploading, applications, fees, and supporting documentation.
- Load and maintain project files in BT and other company systems.
- Prepare submittal booklets and coordinate required plan-check and CO fees.
- Follow up with jurisdictions regarding plan review, corrections, approvals, and outstanding requirements.
- Coordinate corrections and resubmittals through final approval.
4. Project Closeout
- Prepare and coordinate project closeout documentation.
- Assist with Records of Completion and warranty letters.
- Ensure required project documents are complete, accurate, and properly filed.
5. Estimating Support
- Develop familiarity with fire alarm estimating processes and software.
- Work alongside the Estimating Department to learn project estimating procedures.
- Assist with estimating-related tasks as assigned.
6. Communication & Teamwork
- Communicate professionally with Project Managers, field crews, customers, jurisdictions, accounting, estimating, and other team members.
- Maintain accurate and timely project information.
- Follow up on outstanding tasks and communicate project status, issues, and requirements.
- Work collaboratively to resolve project and administrative issues.
7. Attendance & Work Standards
