Front Office Administrative Assistant

Discussion

We are seeking additional front office support for our busy, team-oriented, and growing clinic.

About us:

Sendan Center is an interdisciplinary mental and behavioral healthcare organization providing collaborative and evidence-based care to children, adolescents, and their families. Our team enjoys a workplace culture of mutual encouragement, genuine compassion, creativity, and supported growth; we know that we provide the best care when our team is engaged and excited to come to work! Our clinicians and staff are committed to maintaining an inclusive and affirming environment, and we are constantly looking for ways to better understand and support our employees and clients.

About you:

At Sendan, we work exclusively with children and adolescents along with their families, all of whom are receiving support for mental and behavioral health challenges. This means our clients may often be feeling stressed out, anxious, or upset, although just as frequently they are excited to be here, eager to share stories and achievements, and relieved to be receiving support. As our front office administrative assistant, you will often be the first point of contact whenever a client arrives at the clinic or calls us for assistance. We are looking for someone who is comfortable holding boundaries and maintaining a professional and respectful environment so that our clients always feel safe and welcome (although our definition of professional sometimes includes being covered in stickers or swapping stories about your pets).

Some of the skills we are looking for include:

  • Keen and consistent attention to detail
  • Excellent problem-solving, organizational, and time management skills
  • Clear and effective communication at all times
  • A genuine interest in helping kids and their families access the services they need, while still maintaining appropriate boundaries and setting consistent expectations

About the position:

We are hiring for a full-time front desk position, Monday through Friday from 7:30 am to 3:00 pm.

Pay for this position starts at $20/hour, depending on experience.

Responsibilities include:

  • Opening the clinic, ensuring workspaces and common areas are ready for the next day
  • Front desk duties: checking patients in and out, collecting payments, scheduling appointments, answering telephones, managing voicemail messages, facilitating communication between clinicians and families
  • Accurately documenting all communication with clients and their families
  • Managing patient demographic information
  • Document management: scanning, uploading, faxing, and filing patient records and other documentation
  • Adhering to all privacy and confidentiality policies, in accordance with HIPAA guidelines
  • Providing support to providers and other admin staff as needed
  • Additional projects as assigned

The description reflects management’s assignment of essential functions, it does not proscribe or restrict the tasks that may be assigned.

What we provide:

  • A collaborative, highly supportive working environment
  • Healthcare benefit options for full-time and part-time employees
  • Comfortable and clean facilities, with the ability to tailor your workspace to accommodate your individual needs and preferences
  • Benefits including 3% IRA match after 1 year of employment
  • Opportunities for advancement and growth, including workshops with our team of extremely knowledgeable clinicians
  • Guaranteed adorable interactions with some of the sweetest kids around

Required Qualifications:

  • Must be 18 years of age or older
  • Must have a high-school diploma
  • Prior relevant experience: must have successfully performed similar job functions as listed above.

Preferred Qualifications:

  • Proficiency with computer applications and software, including working knowledge of Microsoft Office Suite
  • Familiarity with navigating Electronic Health Records and experience handling protected health information in accordance with HIPAA guidelines.
  • Experience working in a mental and/or behavioral healthcare setting
  • Some familiarity with different mental and behavioral health services, including psychotherapy, psychiatry, applied behavior analysis, and SLP services.

Additional Job Requirements:

The person in this position needs to be able to:

  • Transition from a stationary position to a moving position frequently throughout the day to access the storage room, use the copier/printer, greet patients, etc.
  • Constantly operate a computer and other machinery such as a copy machine and printer
  • Be able to occasionally lift up to 25 pounds
