Job Summary:
The Program Coordinator of the Doctor of Education in Artificial Intelligence and Moral Agency must be able to lead with expertise in ethics and or Artificial Intelligence with a grounding in Theological Studies. Reporting to the Program Director, The Program Coordinator manages the administrative infrastructure that enables the EdD program to run smoothly for a cohort of bi-vocational adult learners balancing doctoral study with full-time ministry or professional careers. This role is the primary point of contact for students on logistical matters and ensures that admissions, registration, scheduling, technology onboarding, and degree progress tracking occur accurately and on time.

Essential Job Functions:
• Process and track doctoral applications, transcripts, and admissions documentation in
coordination with the Admissions Office and Program Director.
• Coordinate course scheduling, room/platform reservations, and the annual residency and
colloquy calendar across the three-year course sequence.
• Maintain accurate student records, including credit-hour progress toward the 36-credit
coursework and 9-credit dissertation requirements, and flag students who need academic support.
• Onboard incoming students to required technology systems (learning management system,
university email, library databases, video conferencing, and any program-approved AI tools).
• Support faculty, especially adjunct instructors, with contracting paperwork, syllabus templates,
and access to course platforms.
• Organize orientation, welcome events, and cohort-building activities for each incoming class.
• Coordinate dissertation-committee logistics, including scheduling proposal defenses, collecting
committee paperwork, and tracking milestone deadlines.
• Compile program data needed for institutional reporting and accreditation (e.g., enrollment,
retention, and completion statistics).
• Respond to routine student and faculty inquiries and escalate complex issues to the Program
Director.
• Other duties as assigned.

Minimum Job Qualifications
Required
• Bachelor's degree required.
• A minimum of two years of administrative, academic-affairs, or program-coordination
experience, preferably in higher education.
• Strong organizational skills with demonstrated ability to manage multiple deadlines, records, and
stakeholders simultaneously.
• Excellent written and verbal communication skills, including comfort communicating with adult
professional learners who have limited availability during business hours.
• Proficiency with standard office software and willingness to learn the institution's student
information system and learning management system.

Preferred

  • An academic doctoral degree with master's degree in ethics, theology, or a related field.
  • Experience supporting a graduate or doctoral program, specifically, including familiarity with dissertation-process logistics.
  • Familiarity with, or interest in, AI tools and educational technology.
  • Experience working with bi-vocational, ministry, or other nontraditional adult student populations.
  • Experience supporting institutional accreditation or program-review reporting.

Physical Demands
Ability to sit or stand for up to 8 hours/day. Some lifting (up to 25 pounds occasionally), bending, and
carrying. The employee is regularly required to talk and hear, and to use hands and fingers to handle or
feel.
