Shift: 1 Year Fixed Term Contract. Full Time role primarily Monday to Friday typical working hours between 8am-5pm (flexibility required).

We have an exciting opportunity for you to join our team.

The successful candidate will play an integral senior role within the onsite team, supporting all administration duties and projects as required.

Key Responsibilities

Administration and records

  • Maintain accurate employee records, timekeeping, and attendance data across multiple systems, ensuring information is up to date and consistently managed.
  • Maintain an organised filing system, both digital and physical, ensuring documents are accurately recorded, securely stored, easily retrievable, and managed in line with company policy, confidentiality requirements, and data protection standards.

Reporting and performance monitoring

  • Produce accurate, high-quality reports by compiling and analysing data from multiple sources, validating information, and presenting it clearly to support decision-making.
  • Track, monitor, and report on site KPIs, identifying trends and delivering clear performance updates to the client to support transparency, continuous improvement, and high service standards.

Communication and coordination

  • Communicate effectively with the Site Manager, on-site teams, Head Office departments, and the client, building strong working relationships and ensuring timely, professional information sharing.
  • Support the Site Manager with staff rosters and scheduling, helping to maintain appropriate staffing levels, address gaps, and ensure services are delivered in line with contractual requirements and client expectations.

Compliance and incident support

  • Maintain strict confidentiality and ensure full GDPR compliance in a sensitive working environment, handling personal and operational data with discretion and care.
  • Assist the Site Manager with incident-related administration, including the accurate completion of accident and incident records and follow-up of actions in line with reporting procedures.

Projects and additional support

  • Support projects linked to the transition to the new Children’s Hospital, working across multiple sites and in partnership with departments such as Learning & Development, HR, Health & Safety, and Recruitment & Resourcing to support successful implementation of digital systems.
  • Carry out additional ad hoc duties as reasonably required by the line manager.

Knowledge & Experience (Essential)

  • Excellent verbal and written communication skills
  • Strong ability to build effective working relationships and across all levels in an administrative environment
  • Excellent attention to detail
  • Ability to multitask, use initiative and prioritise workload
  • High level of conscientiousness and confidentiality
  • Flexibility and adaptability to changes in schedule and priorities
  • High level of proficiency in information systems and working knowledge of the Microsoft suite
  • Ability to produce results under short deadlines or for longer project.

Knowledge & Experience (Desirable)

  • Relevant qualification: Administration/business/management is an advantage but not essential
  • Knowledge of software systems, with experience in managing datasets and interpreting data to support informed decision-making
