Fund Manager Assistant and Business Development
Job Description & Requirements
We are seekinga highly organised, proactive, and commercially minded Fund Manager Assistant & Marketing to support the Fund Manager in day-to-dayfund management activities, family office matters, business development, andmarketing initiatives.
The role will involve coordination and administrative support relating to 13O/13Ufamily office structures, assisting with investment and fund-related activities, maintaining relationships with clients and business partners, and supporting the firm's business development and marketing efforts.
The ideal candidate should have a strong interest in investments, financial services,family office structures, and business development, with excellent communication, coordination, and organisational skills.
Job Responsibilities
1. 13O/13U Family OfficeMatters
- Assist with the administration and coordination of matters relating to 13O/13U fund structures and family office arrangements.
- Coordinate with external service providers, including fund administrators, tax advisers, lawyers, accountants, and other professional advisers.
- Assist in preparing and maintaining relevant documentation, records, reports, and supporting materials.
- Support the Fund Manager in monitoring ongoing compliance, reporting, and administrative requirements.
- Assist with preparation of information required for family office and investment-related meetings.
- Maintain proper records of family office and fund-related matters and follow up on outstanding actions.
2. Assisting Fund Manager
- Provide day-to-day administrative and operational support to the Fund Manager.
- Coordinate with external service providers, including fund administrators, tax advisers, lawyers, accountants, and other professional advisers.
- Coordinate meetings, calls, correspondence, and follow-ups with investors, clients, advisers, and business partners.
- Assist in preparing and maintaining relevant documentation, records, reports, and supporting materials.
- Assist with transaction-related documentation and coordination where required.
- Maintain proper records of fund-related matters and follow up on outstanding actions.
- Maintain confidentiality of sensitive investment, financial, and client information.
3. Business Development
- Assist in building and maintaining relationships with prospective investors, clients, intermediaries, family offices, and business partners.
- Conduct market research to identify potential clients, investment opportunities, and strategic partnerships.
- Assist with preparation of business proposals, pitch materials, presentations, and other client-facing documents.
- Prepare and send business proposals and coordinate follow-ups with prospective clients and business contacts.
- Coordinate follow-ups with prospective clients and business contacts.
- Maintain and update business development pipelines and contact databases.
- Attend networking events, industry meetings, and business functions when required.
4. HubSpot CRM
- Manage and maintain the firm's HubSpot CRM, including contact records, company profiles, lead information, deal pipelines, and activity records.
- Maintain accurate and up-to-date prospect and client databases within HubSpot.
- Track and manage leads, enquiries, follow-ups, and business development opportunities through HubSpot.
- Assist with the creation and management of HubSpot email marketing campaigns, newsletters, and client communications.
- Monitor campaign performance, engagement, and lead activity through HubSpot and prepare relevant reports for management.
- Ensure that all marketing and external communications are professional, accurate, and aligned with the firm's branding and applicable regulatory requirements.
Requirements
- Diploma or Bachelor's degree in Finance, Business, Economics, Marketing, Accounting, or a related discipline.
- Previous experience in fund management, asset management, family office, financial services, private banking, or a related industry would be advantageous.
- Familiarity with Singapore's 13O/13U family office and fund structures would be an advantage.
- Experience using HubSpot CRM, HubSpot Marketing Hub, or other CRM/marketing automation platforms is preferred.
- Strong interest in investments, financial markets, business development, and marketing.
- Excellent written and verbal communication skills.
- Strong organisational skills with good attention to detail.
- Proactive, resourceful, and able to manage multiple tasks and deadlines.
- Comfortable interacting with clients, investors, professional advisers, and business partners.
- Proficient in Microsoft Office, particularly Excel and PowerPoint.
- Able to work independently while also supporting the wider team.
- High level of integrity, discretion, and professionalism when handling confidential information.
