Summary of the Role
Coordinate administrative activities across the HR, Legal, and Office Administration functions to support the daily operations of the Office Administration Department under the guidance of the Workplace Experience Manager.
Key Functions / Responsibilities
Manage calendars, schedule meetings, and coordinate appointments
Assist in travel arrangements (flights, accommodation, logistics)
Prepare meeting materials, reports, and minutes
Handle courier, mail distribution, and document filing
Maintain employee records and HR databases (personal data, insurance, Pension Program)
Assist in recruitment coordination (interviews scheduling, candidate communication)
Support onboarding and offboarding processes
Arrangement for Overseas Paperwork (renewal passport, travel visa)
Assist Office administration in all activities (including providing PO, CAS and cover payment etc.)
Manage office supplies, inventory, and vendor coordination
Support office operations and facilities management
Assist & coordinate in organizing company events or meetings
Ensure administrative processes run smoothly
Any other ad-hoc projects and duties as assigned from Head of Dept. / Management

Functional / Technical Skills
Detail oriented – strong problem solving and critical thinking skills
Fluent in English, both in written and oral
Good communication skills – excellent verbal and written communication skills
Reliable and responsive
Adaptable in a fast-paced environment
Strong coordination and follow-up skills
Computer literate (Proficient in Microsoft Excel is a must), familiarity with SAP Concur will be considered an advantage
High level of discretion and confidentiality
Education & Experience
Diploma / Bachelor’s degree in Business Administration, Management, Psychology, Law or related field
Minimum 1–2 years of administrative experience (fresh graduates with strong internship experience are welcome to apply!)
