Global Events Specialist (maternity cover 12 month FTC)
Summary
Support global in-person events by managing logistics, vendor coordination, and registration while ensuring consistent branding and seamless onsite delivery.
IFS is looking for a Global Events Executive to join the Global Events team on a maternity cover basis. This role will provide operational and administrative support across global and regional events, helping ensure the seamless delivery of in-person experiences. The role supports event logistics, stakeholder coordination, agency management, reporting, registration processes and onsite delivery. This role requires excellent organizational skills, attention to detail and a proactive approach to problem-solving in a fast-paced environment.
Responsibilities
Event Delivery Support
- Manage onsite logistics, including staffing support for hosts and event workers.
- Act as a point of contact for agencies on travel, transfers, app management and staffing logistics.
- Schedule and coordinate photographers, videographers and creative assets.
- Track project timelines and actions to support seamless event execution.
Event-Specific Support
- Provide operational support for flagship events, including exhibitor management.
- Maintain and align the global events calendar and events web page.
- Support invite list management and sponsorship package delivery.
Logistics and Administration
- Manage purchase orders and invoice processing for events.
- Track agency deliverables and actions to ensure timely execution.
- Support registration processes, ticket sales reporting and discount code management.
- Maintain accurate reporting through exhibitor portals and registration platforms.
Stakeholder and Vendor Coordination
- Support stakeholder meetings and regional coordinator meetings, ensuring clear actions and project timelines.
- Coordinate with vendors for merchandise, giveaways and media production.
Branding and Messaging
- Support consistent branding and alignment across events.
- Follow standardised branding toolkits and guidelines to support a cohesive global events approach
Essential
- Minimum 2+ years’ experience in Event Marketing, Hospitality or a similar role.
- Experience managing administrative and logistical tasks for corporate events.
- Proficiency in Microsoft Office, especially Excel and PowerPoint.
- Strong attention to detail, time management and organisational skills.
- Excellent communication and teamwork skills.
- Flexibility to work across global time zones and travel as required.
Desirable
- Experience using event platforms such as Cvent or similar tools.
