Position Summary
The Global Sales Representative manages international order processing, export documentation, regulatory compliance, and shipment coordination for global customers. This role ensures that international shipments move efficiently by preparing accurate documentation, coordinating with internal departments, and maintaining communication with external stakeholders such as brokers, laboratories, and regulatory agencies.
The position requires strong attention to detail, organization, and the ability to manage multiple priorities while supporting international logistics and customer service operations.
Key Responsibilities
Email Review & Prioritization
• Review and prioritize incoming emails related to orders, documentation, and shipments
• Respond to brokers requesting documents, corrections, or clarifications
• Monitor communications from internal teams including Traffic, Warehouse, QA, and Production
• Identify potential shipment delays, discrepancies, or customer concerns
• Provide updates to Global Sales leadership regarding shipment status and documentation
Order Processing & Coordination
• Review incoming international customer orders
• Create Bills of Lading (BOL) for each shipment
• Confirm shipment ready dates with internal teams or customers
• Coordinate with Traffic to align orders with carrier schedules
• Verify product quantities, pallets, and lot numbers with the Warehouse team
• Adjust order details if inventory or lot availability changes
Export Documentation Preparation
• Prepare and update Commercial Invoices based on final shipment quantities and weight
• Create and revise Packing Lists including pallet counts and lot numbers
• Update USDA documentation when shipment details change
• Prepare or revise Shipping Letters based on broker or customer requirements
• Apply and adjust Incoterms when required
• Correct units of measure and documentation formatting as required by customs agents
• Update invoice references when Finance issues revised invoices
Delivery Appointment Coordination
• Schedule delivery appointments when required by receiving facilities
• Confirm appointment times with customers, brokers, and receiving teams
• Ensure receiving-site rules and delivery windows are followed
• Communicate schedule changes with Traffic, Warehouse, and carriers
Certificate of Origin Processing
• Create COO requests using the essCert platform
• Enter shipment information including HS codes, origin, quantities, and product descriptions
• Upload supporting documentation such as Commercial Invoices and Packing Lists
• Submit requests and address any required corrections from issuing authorities
• Verify certificate details against shipment records prior to release
• Update and resubmit documentation if corrections are required
Compliance & Certification Management
• Request Certificates of Analysis (COAs) from the Quality team
• Initiate Health Certificate requests when required for shipments or samples
• Monitor certificate expiration dates to prevent shipment delays
• Request sanitary permits when required by importing countries
• Coordinate product label requests when required for export documentation
• Prepare notarized affidavits and coordinate document notarization
• Complete temperature statements or compliance declarations as requested
Export Document Shipment
• Print original export documentation required by brokers
• Assemble physical document packets for shipment
• Create FedEx labels and schedule courier pickups
• Deliver documents to shipping carriers when necessary
• Track document shipments and confirm delivery with brokers
Product Samples Coordination
• Coordinate sample requests with QA and Production teams
• Prepare shipping documentation for samples
• Request COAs or Health Certificates for samples when required
• Coordinate with the Warehouse for sample preparation
• Monitor certificate validity and ensure regulatory compliance
• Follow up with laboratories or agencies for pending documentation
Customer Communication
• Provide shipment updates and documentation to international customers
• Send updated invoices, packing lists, certificates, or compliance documents
• Confirm shipment ready dates and receiving appointments
• Respond to questions related to documentation, compliance, and shipment details
• Address urgent customer requests for documentation adjustments
Internal Coordination
• Provide updates to internal sales leadership regarding customer shipments
• Answer operational questions related to export documentation or shipment status
• Investigate customer inquiries and resolve operational issues
• Collaborate with Warehouse, Traffic, and QA teams to gather required information
Issue Resolution
• Correct documentation discrepancies identified by brokers or customers
• Resolve warehouse discrepancies related to lots or inventory
• Update shipping documentation if quantities or weights change
• Address receiving-site concerns such as delivery requirements or documentation formats
• Coordinate across departments to resolve shipment issues quickly
Follow-Up Management
• Follow up with customers awaiting documentation or shipment updates
• Follow up with Warehouse for inventory confirmations
• Follow up with QA for COAs, health certificates, or lab results
• Follow up with brokers regarding customs clearance
• Follow up with Traffic regarding carrier schedules or delays
End-of-Day Organization
• Review outstanding tasks and prioritize work for the next day
• Organize pending export documentation for upcoming shipments
• Check certificate platforms and regulatory portals for approvals or updates
• Ensure all shipments are progressing according to schedule
