GME Program Manager II

The Graduate Medical Education (GME) Program Manager is an integral member of the program leadership team, supporting the operations and success of an ACGME-accredited residency or fellowship program. Working closely with the Program Director, faculty, residents/fellows, and GME Office, this role supports accreditation, recruitment, onboarding, scheduling, educational activities, evaluations, program communications, financial management, and trainee administration.

This position is based in Phoenix, Arizona and may require travel between Valleywise Health Medical Center, associated clinical locations, and St. Joseph’s Hospital and Medical Center based on program needs.

The ideal candidate is highly organized, detail-oriented, proactive, and able to independently manage multiple priorities and deadlines. Strong communication, collaboration, problem-solving, and follow-through are essential.

Key Responsibilities

  • Manage day-to-day operations of fellowship training programs and support Program Directors.
  • Ensure compliance with ACGME, institutional, and regulatory requirements.
  • Coordinate trainee recruitment, onboarding, orientation, evaluations, scheduling, and graduation activities.
  • Maintain program databases, records, websites, and communications.
  • Oversee ERAS, NRMP Match processes, credentialing, licensing, contracts, and visa-related documentation.
  • Organize conferences, meetings, educational events, and recruitment activities.
  • Monitor budgets, process purchases and payments, and assist with annual financial planning.
  • Support accreditation reviews, site visits, and program quality improvement initiatives.
  • Serve as a key liaison among trainees, faculty, hospital departments, and external partners.

Qualifications

  • 1+ years of administrative experience in healthcare, medical education, or higher education.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities independently and maintain strict confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with residency management systems is a plus.
  • Knowledge of graduate medical education and accreditation processes preferred.
