Position Summary

NMILC is seeking a Grants and Program Project Manager to act as a bridge between administrative and program teams. This role involves managing program administration for complex federal and state grants as well as philanthropic grants, coordinating grant activities across legal and social service programs, and ensuring that program objectives are met on time and within budget.


Key Responsibilities

Program Project Management:

  • Develop and execute program operation plans for restricted and unrestricted philanthropic funding and major grants and contracts
  • Lead multiple projects simultaneously, assigning roles, tracking progress, and ensuring timely completion
  • Disseminate information, including through grant kick-off meetings and regular cross-departmental communication, regarding program deliverables, modifications, policies, and procedures
  • Manage grant documentation and file storage across NMILC’s technology infrastructure
  • Design improvements in NMILC’s online case management database (LegalServer) and Case Management Manual
  • Implement grant administrative requirements, including trainings, license renewals, personnel document updating, etc.
  • Track program feedback on grant matters, to inform future grant applications and renewals


Grant Compliance and Coordination:

  • Coordinate funder communications related to grant requirements and documentation
  • Coordinate site visits from funders, assigning roles and leading preparations
  • Prepare grant award modifications in compliance with grant requirements, including for personnel, programmatic, and project period changes, as well as narratives for budget modifications, and coordinate submissions
  • Prepare grant reports, either independently or collaboratively depending on the funding source
  • Track and compile program data to support internal evaluation and funder reporting


Grants Management Practices Improvement:

  • Collaborate on drafting policies required by contracts to align with program needs
  • Support internal reviews of grant management practices, processes, and policies to identify and implement improvements to program compliance, data management, internal coordination, and information sharing
  • Support transition of grants management practices and data into Fluxx GrantSeeker Database
  • Actively participate in and co-lead weekly Grants and Operations team meetings; represent the Grants and Operations teams in all-staff and program team meetings


Qualifications

  • Bachelor’s degree or equivalent combination of four years of relevant experience and education
  • Strong organizational and time management skills with the ability to manage multiple projects and meet deadlines
  • Detail-oriented with a commitment to producing high-quality work requiring minimal review
  • Excellent writing, research, analytical, design, and verbal communication skills
  • Proficiency in Microsoft Office

Preferred Skills

  • Knowledge of immigration legal services
  • Experience in nonprofit management or federal grant administration
  • Prior experience with Fluxx GrantSeeker, or similar
  • Experience with LegalServer or similar case management systems
  • A passion for data collection/analysis to enhance organizational impact
  • Demonstrated ability to work collaboratively in a diverse team environment

Our Salary and Benefits

This is a full-time, non-exempt position. Starting rate for the Grants and Program Project Manager position is $31.50/hour.

NMILC offers a phenomenal benefits package, which includes:
