We're looking for a highly organized, proactive, and resourceful Group Project Manager who thrives in a fast-paced environment and enjoys supporting both people and operations. This role is ideal for someone who takes initiative, builds strong relationships, and enjoys finding solutions to keep teams running smoothly.

Core Responsibilities

Executive Support

  • Manage complex calendars, including scheduling internal meetings, client meetings, and personal appointments.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Process and submit expense reports, invoices, and timesheets accurately and on time.
  • Support day-to-day administrative operations and special projects as needed.

Communication and Information Management

  • Serve as a professional point of contact for internal teams, clients, and external business partners.
  • Facilitate the timely and accurate flow of information across stakeholders.
  • Maintain organized records, documents, and communication materials.

Meeting and Event Coordination

  • Coordinate meeting logistics, including conference room bookings, video conferencing, technology setup, agendas, and presentation materials.
  • Prepare meeting materials and track follow-up actions to ensure successful execution.

Qualifications

  • 2+ years of administrative, executive support, or office coordination experience.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, Microsoft Teams, Zoom, and other business productivity tools.
