This role supports the Project Manager (PM) and Project Controls Coordinator (PCC) by managing the financial, procurement, and administrative aspects of capital projects. The position is responsible for purchase orders, change orders, cost forecasting, project closeout, budgeting support, and maintaining accurate project documentation to ensure projects remain financially compliant and on schedule.
Procurement & Purchase Orders
- Create and submit purchase order (PO) requisitions.
- Track PO status, funding levels, expiration dates, and key milestones.
- Support procurement activities throughout the project lifecycle.
Change Order Management
- Prepare and submit change order (CO) requisitions.
- Maintain an accurate cumulative change order log.
- Track approved and pending change orders.
Cost Forecasting & Financial Reporting
- Partner with Project Managers and Financial Analysts to prepare monthly project cost forecasts.
- Extract project cost reports from SAP.
- Compare forecasted costs to actual spending.
- Identify and communicate cost variances and recommend improvements.
Project Closeout
- Coordinate project financial closeout activities.
- Support asset unitization and retirement with Accounting and Finance.
- Update project status and metrics during project completion.
Capital Budget Support
- Assist with Project Request Forms (PRFs).
- Track estimate requests and capital budget documentation.
- Support annual and long-range capital planning activities.
Audit & Compliance Support
- Gather and organize project documentation for audits, rate cases, and regulatory filings.
- Maintain project filing systems and documentation.
- Assist with procurement and financial documentation requests.
General Project Controls
- Maintain project records and financial documentation.
- Recommend process improvements.
- Support additional project controls activities as assigned.
