GWCCA SALES OVERVIEW

The Georgia World Congress Center Authority (GWCCA) Commercial Operations function is responsible for attracting major meetings, conventions, and trade shows that support long term growth objectives and guest experiences. Through strong commercial oversight, strategic partnerships, and team leadership, Commercial Operations ensures the Authority provides a high standard of quality, client relationships, site visits, and brand development.

GWCCA SALES COORDINATOR (ADMINISTRATIVE) POSITION SUMMARY

The Authority is currently hiring a Sales Coordinator to join The Georgia World Congress Center. The sales Coordinator shall exercise the highest level of professional work standards to plan, coordinate, and communicate assignments and to demonstrate good judgment, intelligence, initiative and ability to work under pressure. Other duties may be assigned by the Director of Sales.

The ideal candidate is a highly organized, customer-focused professional who thrives in a fast-paced, deadline-driven environment and demonstrates exceptional communication, relationship management, and problem-solving skills.

GWCCA SALES COORDINATOR (ADMINISTRATIVE) WORK ENVIRONMENT

  • Typical work hours are in-office Monday through Friday from 8:30am – 5pm, with occasional evenings or weekends based on event schedules.
  • Fast-paced, professional work environment in a dynamic convention, sports, entertainment, and hospitality venue.
  • Supports event-based business which may require irregular work hours, flexible scheduling, and availability to support evenings, weekends, holidays, and special events based on operational needs.
  • Work performed in varying event facilities and conditions across the Authority's campus (indoors and outdoors).
  • May be expected to perform or respond effectively to changing priorities, time-sensitive operational issues, and emergency situations while maintaining composure under pressure.
  • Requires frequent interaction with large crowds in public venues and event settings while maintaining professionalism, composure, and exceptional customer service.

GWCCA SALES COORDINATOR (ADMINISTRATIVE) PHYSICAL DEMANDS

GWCCA SALES COORDINATOR (ADMINISTRATIVE) ESSENTIAL DUTIES and RESPONSIBILITIES

  • Receive incoming leads through website, phone and other means. Evaluate, enter, organize, and disseminate to the team.
  • Enter all internal events and site coordination activations in CRM.
  • Organize, coordinate, and facilitate communications involving sensitive/confidential information regarding customers, clients, and business contacts.
  • Provide general office coordination and administrative assistance to the Sales Team.
  • Type, format, edit/proofread for accuracy in grammar, and distribute a wide variety of written materials.
  • Assist VP and DOS with day-to-day executive support needs.
  • Prepare purchase orders and process vendor payment requests.
  • Receive and disseminate mail; operate a variety of office equipment as required.
  • Ensure all requests and inquiries are handled in a professional manner.
  • Maintain a professional image that represents the philosophy of the Georgia World Congress Center Authority with emphasis on providing customers with the highest level of customer service deemed possible.
  • Assist with screening and directing potential clients to appropriate Sales Managers.
  • Coordinate expense reporting for VP and DOS.
  • Prepare executive-level correspondence, presentations, and briefing materials to support leadership in meetings and external engagements.
  • Draft agendas, record minutes, and manage action items for executive and departmental meetings.
  • Support leadership in strategic planning initiatives by compiling reports, tracking KPIs, and monitoring progress on departmental goals.
  • Serve as a trusted advisor to leadership, anticipating needs and providing solutions to ensure smooth operations.
  • Maintain strong cross-departmental relationships to facilitate executive priorities and organizational objectives.
  • All other duties as assigned.
  • Site Visit Coordination
    • Serve as the central point of contact for all site visit logistics, supporting Sales Managers and the Director of Sales.
    • Schedule and facilitate initial planning calls with ACVB and Sales Managers to align goals, hot buttons, and departmental presence.
    • Create and distribute Site Alerts including event details, spaces to be toured, presentation needs, and departmental participation.
    • Reserve and prepare presentation spaces in Momentus (CRM).
    • Coordinate with service partners for site visit logistics.
    • Develop and maintain detailed agendas, itineraries, and internal communication templates for each site visit.
    • Secure accessibility accommodations, digital signage, and ensure all materials (floorplans, proposals, collateral) are organized and available.
    • Collaborate with Sales Managers to deliver a professional, branded experience throughout the site visit.
    • Conduct pre-visit walk-throughs to verify all spaces are clean, operational, and AV-ready.
    • Coordinate arrival logistics, including parking reservations, directional signage, and greeting protocols for ACVB or DMC partners.
    • Implement Surprise & Delight elements that personalize the experience (e.g., custom signage, themed treats, or local gifts).
    • Ensure all facility access and security measures are confirmed with Facilities Management and Public Safety.
    • Serve as on-site liaison during the visit, managing timing, transitions, and departmental participation.
    • Facilitate post-visit resets, ensuring spaces are secured and returned to proper condition.
    • Track outcomes of site visits in Momentus.
    • Proactively identify opportunities to improve the site visit experience through feedback and trend tracking.

GWCCA SALES COORDINATOR (ADMINISTRATIVE) EDUCATION and/or EXPERIENCE

  • Education: Bachelor’s degree in Hospitality, Business, or related field preferred.
  • Experience: Up to 3 years in a sales, hospitality, or event coordination role (convention center, hotel, or CVB experience preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required
  • Experience with CRM software, Momentus, Delphi, AI tools is a plus.
