Harkened Peru - Senior Executive Assistant
Senior EA to act as Kelly's right hand across two growing businesses. High trust, high autonomy, real judgment required.
$2,500-$3,000/month | Full-time | Eastern Europe/South AfricaWe have two businesses, operating in Peru and the US. Harkened/Fibras Unidas is a B2B knitwear manufacturing operation in Lima, now largely managed by a general manager. The Endery is a clothing brand that started in e-commerce and has expanded into wholesale, and now includes a physical presence in both Lima and the US. The team includes full-time employees, contractors, and fractional specialists across both countries.
The businesses have grown organically, but the systems haven't always kept pace. Too much still funnels back to Kelly - information, follow-up, cross-functional coordination, and one-off decisions. This hire will help to reallocate some of the responsibilities, and will be a long-term right hand to Kelly - providing continuity as things evolve. The EA will deeply understand how Kelly works, know the team/who owns what, create structure where needed, route work effectively, and make sure tasks that have been delegated are completed. The EA will be trusted to operate independently - absorbing context, exercising judgment, turning messy inputs into organized action, and attempting to only bring Kelly in when absolutely necessary.
We're looking for a Senior Executive Assistant. Someone who has already had a senior career and now wants a high-trust, high-autonomy right-hand role rather than climbing a traditional corporate ladder. You'll act as the central nervous system across the 2 businesses and their founder’s day-to-day life - the person who makes everything run smoothly.
📋 Own founder’s inbox and calendar, triaging incoming requests and handling or routing as much as possible
🤝 Act as connective tissue across the businesses - understand who owns what, get the right people talking to each other, and land work with the most effective person
✅ Close loops by tracking requests, commitments and action items until they're completed
💡 Prepare decisions and meetings so I receive distilled information, recommendations and clearly defined choices rather than raw problems
📦 Build and maintain systems that make the businesses easier to run - Notion, SOPs, Google Drive, recurring calendars and checklists
📊 Maintain oversight of recurring administrative and business-critical areas like compliance deadlines, benefits, trademarks, expenses, subscriptions, travel and other operational details
🎯 Support cross-functional and special projects by coordinating internal team members, contractors and outside experts
🧠 Learn founder’s working style and the businesses deeply enough to increasingly anticipate needs and handle issues independently
Working hours are roughly 6am-2pm New York time (midday-8pm in Eastern Europe/South Africa).
Requirements
To be successful in this role, you need:
✅ Proper Senior EA experience - Senior EA, Executive Business Partner, Chief of Staff/EA hybrid, or similarly high-ownership executive support experience (not a low-level VA)
✅ Excellent judgment - able to distinguish what you can decide independently, what should be delegated to someone else, and what genuinely needs exec’s attention
✅ Confidence to step in and make decisions with the information you have and keep things moving forward
✅ Comfort operating with ambiguity - able to take a messy or incomplete request, figure out what's actually needed, and create a path forward
✅ Strong attention to detail
✅ Comfort managing people laterally - chasing and following up with the wider team
✅ Self-motivated, self-starter approach - highly autonomous and comfortable working independently without frequent check-ins or reassurance
✅ Emotional steadiness and resilience - able to receive direct feedback, navigate pressure and interpersonal complexity, and remain calm and solutions-oriented
✅ Solid working knowledge of platforms, tech and AI tools
