Head of PMO

Job Purpose

The primary job of the Head of Project Management Office (PMO) is to ensure that the company’s standards are upheld and clearly defined throughout the entire process of each project’s development and execution.

With line management responsibility for Project Managers and Project Coordinators, the Head of PMO is responsible for leading the project delivery team, serving as a point of escalation, and providing ongoing coaching and mentoring to team members.

The successful candidate will work with the Operations Director to shape the Project Office, improving processes and embedding best practice to ensure the successful delivery of projects with a focus on demonstrably improving customer satisfaction.

Key Responsibilities

  • Promote a culture of strong project management discipline and leadership focused on industry excellence and superior service. Enhance and continuously improve project management methodology leveraging PMO best practices and change management.
  • Monitor and report on key project management metrics; continuously striving to improve performance and customer satisfaction.
  • Plan, execute, track, and manage costs for all customer projects.
  • Lead quarterly team sessions with the primary objective being to identify areas for improvement. Developing and executing an ongoing plan, including agreed KPIs, to address the agreed areas for improvement.
  • Act as a project sponsor or escalation point on agreed projects to ensure any project risks are identified, reported on and mitigating actions are taken promptly.
  • Provide accurate management information including, but not limited to, forecasting, the status of projects and any identified risks and other agreed KPI’s.
  • Provide leadership and oversight to the project team instilling consistent and suitable frameworks for the planning, execution, and delivery of projects
  • Undertake appraisals and discuss training/career opportunities with the HR team as part of an overall company-wide L&D plan.
  • Responsible for the development, maintenance and consistent adoption of all relevant processes, procedures and documentation relating to Dynamics delivery projects.
  • Design and deliver an agreed customer satisfaction program.
  • Develop processes and procedures to ensure the PMO Department works collaboratively with the Consulting team.
  • Work closely with other teams across the business to ensure best practice initiatives are shared and interdepartmental cooperation is improved through the staff surveys.
  • Work with sales to provide timely estimates for work, undertake pre-sales activities as required and provide feedback on existing products to the Product team as well as provide input to the Product Roadmap.
  • Collaborate with Sales and Support to ensure smooth and successful handoffs of customers.

Person Profile

  • Previous experience in managing a project team is essential, programme management experience is desirable.
  • Strong leadership skills with the proven ability to work independently, together with the ability to develop and maintain strong relationships with a wide range of stakeholders both internally and externally.
  • Expertise in project managing both out of the box and development solutions in a Microsoft Dynamics 365 environment.
  • Exceptional knowledge of varied project management principles and practices with a solid understanding of project management techniques, methodologies, and best practices.
  • Excellent ability to understand architectural and technical aspects of projects.
  • Strong leadership qualities and organisational skills as well as the ability to adapt quickly to changing priorities, assignments, and roles.
  • Independent judgment and mature decision-making skills to deal with programs that often have an enterprise-wide scope and may have significant financial and compliance impacts.
  • Excellent verbal, written, and presentation skills. In particular, a proven ability to effectively communicate technical and business issues and solutions to multiple organisational levels internally and externally as needed to support the strategic goals.

Special Circumstances
  • To be able to work flexible hours as and when required. Travel to prospect and client sites will also be an integral part of the role, so the successful candidate should be comfortable with occasional overnight stays away from home.
