Head of Trade Operations

Trade Execution & Logistics

• Manage and execute trade operations from contract finalization to cargo delivery.
• Oversee ocean vessel operations, follow up daily on ongoing shipments status and documentations with ship owners, shipper and receivers.
• Coordinate with shippers, receivers, port agents, surveyors, and logistics providers.
• Monitor port operations for loading/unloading and ensure timely cargo movement.

Contract Compliance & Documentation

• Ensure full compliance with trade contract terms, INCOTERMS, quality specs, and delivery schedules.
• Supervise accurate and timely preparation of shipping and banking documents (e.g., BL, CI, COA, COQ, LC documentation). Liaise with suppliers on amendment/discrepancies during draft documentation checking and verification before requesting for final documentation.
• Liaise with banks for trade finance documentation and settlements.

Operational Risk & Cost Control

• Identify and manage operational risks including demurrage, despatch, delays, and disputes.
• Monitor trade execution costs and ensure profitability through operational efficiency.
• Lead demurrage/Despatch negotiations and claim settlements.

Regulatory & ESG Compliance

• Ensure adherence to international trade regulations, customs rules, and environmental policies.

Cross-Functional Leadership

• Lead and mentor the Trade Operations team including shipping, Laytime, Letter of credit negotiations, shipping documentation etc.
• Work closely with Trading, Finance, Legal, Chartering, and top management to ensure smooth trade lifecycle management.
• Maintain strong relationships with key suppliers, customers, and service providers.

Reporting & System Management

• Provide regular operational reports, trade status updates to senior management.
• Oversee and improve trade management system usage for operational efficiency.
• Drive continuous improvement of SOPs and automation initiatives.
