HEAD, PHARMACY
GENERAL DESCRIPTION
Responsible for planning, developing, and managing pharmaceutical services in KPJ in line with modern pharmacy practice, organizational policies, and relevant legislation. The Chief Pharmacist holds final decision-making authority and ensures proper provision and dispensing of medications, compliance with regulations, and adherence to quality assurance standards for optimal patient care.
JOB DESCRIPTION
Main Responsibilities:
- Ensure all drugs, including dangerous and psychotropic substances, are handled, checked, and recorded in accordance with the Poison Act 1952, Dangerous Drugs Act 1952, and hospital policies.
- Maintain strong liaison with the Ministry of Health (MOH) Pharmacy Enforcement Officers, ensure all inspections, verifications, and documentations are properly gathered, maintained, and submitted within stipulated timelines.
- Implement effective monitoring systems to ensure compliance with statutory regulations, Good Pharmacy Practice (GPP), and internal audit standards.
- Plan, develop, and implement strategic and operational objectives for Pharmacy Services to ensure safe, efficient, and patient-centered operations.
- Plan, manage and control service budget, manpower, and equipment in alignment with hospital goals.
- Analyze operational data to assess workload distribution, cost efficiency, and service improvement opportunities.
- Review, check, and approve staff rosters, annual leave plans, overtime claims, and operational documentation for accuracy and completeness.
- Operate and oversee all pharmacy systems (e.g., HIS, inventory) to ensure accurate pricing, stock control, and billing processes.
- Review and update drug price lists when necessary, ensuring prompt implementation and system updates.
- Implement performance monitoring tools to ensure timely reporting and compliance with departmental KPIs.
- Plan and monitor annual practicing certificate (APC) and pharmacist poison license A status is valid.
- Liaise with external agencies, suppliers, and the Group Corporate Pharmacy Division on regulatory, procurement, and standardization initiatives.
- Provide professional advice and consultation to pharmacy staff, prescribers, nurses, and other healthcare professionals on drug-related matters.
- Supervise preparation of extemporaneous products and prepare formulations when necessary.
- Conduct patient drug counseling to ensure safe and informed use of medications.
- Maintain high standards of pharmaceutical care by ensuring safe, proper, and ethical dispensing practices, while delivering services promptly, efficiently, and professionally to all customers.
- Plan and implement continuous improvement initiatives for the department’s services and operations.
- Lead and implement Quality Improvement (QI) projects and initiatives to enhance patient safety, workflow efficiency, and service standards.
- Produce, analyze and submit reports on financial, operational, performance indicators/quality objectives, medication errors, adverse drug reactions (ADRs), and sentinel events for management review and monthly pharmacy monthly report to HQ.
- Conduct Root Cause Analysis (RCA) discussions for medication related incidences and formulate corrective and preventive actions (CAPA).
- Develop and implement service risk management plans, ensuring compliance with MSQH, ISO, and hospital safety frameworks.

- Perform any other responsibilities as assigned by immediate superior or hospital management
JOB REQUIREMENT
Education:
- Bachelor Degree in Pharmacy/ Masters in Business Administration/Masters in Clinical Pharmacy
- Registered with the Malaysian Board of Pharmacy
- Possess Poison License A
Knowledge and Experiences:
- Preferable 7 years’ working experience in hospital setting.
- Exposure to all field/ discipline in Pharmacy Practice
