The schedule for this position is Monday - Friday 35 hours per week.
GENERAL RESPONSIBILITIES:
The Center Manager is responsible for the day-to-day operation of a family planning or surgical center; for the hiring and supervision of center staff; for developing, refining and implementing operational procedures to ensure high quality and service excellence; for participating in the daily delivery of services; in consultation with the Director of Patient Services, for developing, managing and reporting on center’s annual operating plan and budget. If assigned to a center that provides surgical services, the Center Manager has full-time authority and responsibility for its operation as an Ambulatory Surgical Facility.
It has been determined that the position of Center Manager requires the performance of certain duties that place the employee at risk of an occupational exposure. SPECIFIC DUTIES:
- Hires and supervises all non-clinician center staff; hires and supervises clinicians in consultation with the Director of Patient Services, Director of Clinical Services, and the Medical Director.
- Develops and implements training/orientation plan of new staff in conjunction with appropriate Patient Services Administration.
- Performs annual performance reviews on center staff.
- Develops and monitors staff performance plans, and works closely with staff to achieve objectives.
- Develops and/or implements non-medical procedures for operation of center, including appointment systems, communication systems, medical records, billing, suppliers, waste management, Risk & Quality Management.
- Assists Patient Services Administration in developing annual center budget including visit/procedure and revenue projections.
- Manages center’s fiscal budget.
- Assists Patient Services Administration in developing and implementing annual operational plan for center, including staffing, scope of services, outreach, facilities upgrading, marketing of services, etc.
- Submits regular reports as required by Patient Services Administration.
- Oversees medical record systems (charts, logs, etc.) to ensure accurate data entry, filing, access and storage, in full compliance with standards of care and legal requirements including HIPAA.
- Ensures all clinic supplies are at adequate levels and clinic/medical equipment is in good repair.
- Responsible for all patient fee receipts; reconciliation of daily deposits with computer journal sheets and timely reporting of same to Finance Department.
- Responsible for maintaining center’s productivity standards.
- Manages center maintenance, repairs, and regular housekeeping. Assists in center renovations or space acquisitions, as needed.
- Coordinates scheduling of center personnel, including contract personnel as needed to maintain patient service delivery.
- Conducts regularly scheduled staff meetings.
- Responsible for dissemination of administrative and medical policies to staff and for operation of center within these policies. If managing a center that provides surgical services, provides full-time management of Ambulatory Surgical Facility.
- Assures that an appropriate system of care follow-up is in place in order to maintain continuity of patient care.
- Performs patient-related duties as outlined in Center Assistant job description as appropriate.
- Participates in PPSP’s Risk & Quality Management Program, including ensuring the completion of weekly, monthly and annual RQM activities in the center and incident-reporting according to PPSP standards and requirements.
- Adheres to OSHA regulations.
- Participates in departmental and interdepartmental committees, which affect or determine policies and procedures related to the delivery of patient services.
- Performs other duties as assigned.
