This is a full-time remote healthcare operations role focused on accurately processing patient documentation and data from multiple sources. You will help ensure information is captured, reviewed, routed, and maintained correctly across patient and program records. The role requires strong attention to detail, sound judgment, and the ability to work efficiently in a high-volume environment. You will interact with multiple systems and work queues while maintaining strict standards for accuracy, timeliness, and confidentiality. Collaboration with internal teams will be essential when resolving discrepancies or incomplete submissions. This position is well suited to an organized and dependable professional who takes pride in accurate work and meaningful patient support.
Accountabilities:
- Receive and process inbound healthcare documentation and information through fax, electronic uploads, and other designated channels, ensuring materials are handled accurately and efficiently.
- Enter and maintain patient and program data within proprietary systems and databases, maintaining a high level of accuracy and completeness.
- Review incoming documentation for completeness, accuracy, and alignment with applicable program requirements, identifying missing or inconsistent information that requires follow-up.
- Determine the appropriate routing of documents and information to the relevant department, program, or team member so that requests can be processed without unnecessary delays.
- Monitor incoming requests and inquiries across multiple systems and work queues, responding appropriately and ensuring information is processed within expected timelines.
- Maintain established performance expectations and KPIs related to productivity, timeliness, accuracy, quality assurance, and overall intake performance.
- Collaborate with colleagues to investigate and resolve document discrepancies, incomplete submissions, and other intake-related issues.
- Apply independent judgment when processing information while consistently following established policies, procedures, and operational guidelines.
- Protect confidential patient information and comply with HIPAA requirements and applicable standards for safeguarding protected health information (PHI).
- High school diploma required; an Associate degree in healthcare or a related field is preferred.
- Previous experience in healthcare administration, medical document management, data entry, patient services, or a similar administrative environment is preferred.
- Familiarity with medical terminology is preferred, particularly for candidates working with healthcare documentation and patient records.
- Strong attention to detail and a demonstrated ability to maintain accuracy when entering, reviewing, and processing large volumes of information.
- Strong organizational and time-management skills, with the ability to manage multiple priorities, work queues, and deadlines effectively.
- Comfortable navigating and toggling between multiple systems, databases, applications, and work queues while maintaining consistent accuracy.
- Strong written and verbal communication skills, with the ability to communicate clearly with colleagues and appropriately address incoming requests and inquiries.
- Ability to remain calm, focused, and productive in a high-volume, fast-paced operational environment.
- High level of accountability and reliability, with a consistent commitment to following policies, procedures, quality standards, and confidentiality requirements.
- Ability to work independently while also collaborating effectively with team members to resolve issues and maintain smooth intake operations.
- Comfortable working in a fully remote professional environment, including maintaining a private workspace suitable for handling confidential patient information and participating in video meetings.
- Reliable internet connectivity and the ability to work regular hours supporting activities across U.S. Eastern through Pacific time zones.
- Ability to sit and work at a computer for prolonged periods, perform keyboarding and speaking duties, and lift up to 15 pounds when required.
- Hourly pay of $15.00–$17.00, based on experience and qualifications.
- Full-time, 40-hour-per-week remote position.
